This procedure outlines the process for sending physical materials to Metadata Services for cataloging or record maintenance.

Item records in Alma provide the basis for a wide range of operations in technical and public services, such as checking things in/out, placing requests, billing, labeling, binding, tracking of in-process materials, and compiling statistics. Every item record in Alma must be attached to a holdings record, which is attached to the bibliographic (bib) record.

How to close serials holdings records

This document describes the process for withdrawing properly linked related records in Alma, that is, two or more records that describe the resource(s) in one physical volume and that are linked via a host bibliographic record.

The document also addresses the process of withdrawing multiple records that describe the resource(s) in one physical volume but that are not linked through a host bibliographic record, such as records for unlinked analytics.

Items that are missing are declared lost and withdrawn after multiple searches. Sometimes these items are later recovered (either returned or found in the stacks). This document describes steps to take if a selector determines that the recovered copy should be reinstated.

This procedure is to be used by staff for manual withdrawal of Items only if the items are NOT missing or billed/lost and are NOT on Related records (aka Host Bibs).

There are times when we have predicted Item records for serial issues that have not been received and need to be deleted.
