Cataloging gift materials in Metadata Services

Scope

This procedure outlines the process for cataloging gift materials in Metadata Services.

This procedure supplements Sending Materials to Metadata Services.

 

Overview

  1. Selectors accept gifts based on the Library’s gifts policy.
  2. Each gift should have a white GIFT flag, which includes the library/location and any notes.
  3. Gifts are shelved in 42 Doe by language.
    1. Each language has a section for gifts at the end of the range to keep them separate from new acquisitions.
    2. "Priority" gifts are shelved to the left on non-priority gifts.
  4. All gifts are cataloged as a low priority. Gifts identified as a "Priority" should be cataloged before non-priority gifts.
  5. Catalog gifts in OCLC Connexion as usual. Do not add any copy-specific information to the WorldCat record.
  6. Create holdings and item records in Alma as usual. Add copy-specific information according to the instructions below.

 

Copy-specific information

Add copy-specific information in local fields and extensions in Alma according to the instructions below. Notify the Head of Metadata Services of additional copy-specific information that should be included.
