Batch Activating Selected Portfolios in a Collection
Find the collection name in the IZ, Example: De Gruyter eBooks Complete
Click on the Service Editor from the “...”
Click into the Portfolios Tab
Click Load Portfolios
Prepare your spreadsheet:
Use Portfolio Loader Template, add list of ISBNs
Select Catalog: Institution
Loading Policy Type: Incremental, choose this before you load your file or it will reset once you click it
Select File: Load your Excel file
Choose Operation: Update
Select Validation Policy: Online = done now, for small files. Offline = large files, done overnight
Click Next.
Review the Activation Summary. Download the excel file to view information and warnings. If certain ISBNs failed to load, troubleshoot. May have an alternate ISBN or may need to be manually activated.
Click Load. You should see a message that you’ll receive an email:
Activation job of , for example, CKB Collection de Gruyter eBooks Complete submitted, an email will be sent upon completion. Job id: 3611907320006532
Click save, then click back into the portfolios list for this collection and note how many you have active. It should have the new ones added now. Assuming the job has completed.
Clicking into the portfolio list again, the new titles should appear in the list first, with creation & modification dates shown for when they were loaded.
Check Monitor Jobs page to make sure it completed and to fix any errors.
***Always spot check records in Discovery, make sure links and proxy works!!! (And access at the publisher’s platform!)
Tips:
- From the portfolio list, you can hover over a title, right click, Test Access (or get to Test Access from the “...” menu to the right)
