BTECH Minutes - 2/2/05

Berkeley Technical Services Discussion Group Meeting
Wednesday, February 2, 2005
9:00am to 11:00am
303 Doe Library

Agenda

1. Announcements

-Carole announced that the backlog of serials with accompanying CD's in the workflow have been completed.  She has come up with a new workflow plan that should eliminate the future backlog of these items.  Technical Services is also working on the backlog of stand alone CD's.  They currently have 5 shelves worth of these, which they hope to whittle down in the next 6 weeks.  You should also start seeing these show up in your unit.

-Carole reported she was having problems with her email, which now seems to be fixed.

-L. Leighton is currently acting head of Continuing & Electronic Resources Division (C&E).  Carole is temporarily acting as head of the Receiving & Check-in Team.  She will soon be back on the electronic digital trail.

-NRLF is on track for the building of the new addition.  March 16 is the target occupancy date. NRLF Phase 3 should be able to hold about 2 million items.  The new space will have a new reading area and a new scanning area.

-Ginny reported that the TCP project has been completed.  1500 records were deleted where they were duplicated.  There were 3000 records in all that they looked up and corrected.  The Rowell call number project is currently being worked on.  It has different types of problems from the TCP project.

2. Systems Gladis update / C. Takaro

-New Tandem-preliminary data migration, configuring and testing.

-Deaccession list of Musi Case M/Mb items for NRLF (produced a report from Gladis in NRLF order of a set of items Music is going to bring back to campus).

-Programming was put in place to test fining for Moffitt.

-Changes were made to the patron load program to treat concurrent enrollment students the same as GTU students, alumni, and library employees.  If there is an active record (a regular library card) for these patrons, that will remain the active record and the incoming student record will be expired.

-Removed an obsolete NRLF FFPK code (has to do with physical attributes of an item)

-Bug fixes to macros for the Report Log website, the Gladis labels macro, etc.

-RLIN client changes upcoming - we'll probably transition in the next few weeks.  Programming for this is in progress.

-OCLC projects investigated: retrospective delete of deleted/last copy withdrawn items, and project to add OCLC # to locally cataloged and cross loaded records.

-Various projects are in the works and will be reported on when they are complete/in place.  Upcoming in the near future: Global change for wording of SHL note for CDROMS, global deletion of the temporary SHL for DREF materials removed from the reading room while it was being renovated.  Shelflist for Bancroft (450,000 records).

-Project lists- hopefully Penny will visit BTECH to present the list.  Everyone should give feedback to their council representatives and ask to be involved in the review.

3. Training and training contacts

-The topic of training and the lack of available training were discussed.  Currently the Library lacks staffing due to SIP/Retirement and many of the staff that used to train have left.  Until the Technical Services Department can reorganize, train their own staff that have been moved around and catch up on some of the backlogs, we will have to rely on the knowledge of other B-Tech'rs.

The group brainstormed and thought that perhaps staff could rely more on the expertise of other staff on the B-Tech reflector.  This could be done by bringing your questions to a B-Tech meeting or posing a question on the reflector (btechgrp@library.berkeley).  This may also be a good place to try to find someone who could offer some training where needed.  It was also suggested that an attempt could be made to advertise the B-Tech Group by sending an allusers reminding people what the group is to try to solicit more members.  With the turn around and movement of staff, there could be some people out there that are unaware of the group who could benefit from it.

It was also suggested that perhaps we could make a new regular agenda item to discuss technical service type problems that people may have.  If staff have questions they could use the expertise of other members to help solve their problem or get the name of a contact person for them.
