BERKELEY TECHNICAL SERVICES DISCUSSION GROUP
MEETING MINUTES

Announcements:        

Judith Weeks announced a few things she learned from her meeting with 2 of
our EBSCO representatives.  They just came for a general update of how
things were and some tips on claiming.  They suggested that all and
following claims, as well as titles that come on memberships should be
claimed through our SerPay email account instead of mailing our
paper claims.  They said that their regular claiming system was not the
best for these types of problems.  It works best for skipped and
damaged issues.  They also reminded us of the importance of returning
the EBSCO Claim Checkers right away.  If they do not get them
back they figure everything is OK and the claims are dropped. 
When returning the claim checkers you can write notes on them for EBSCO.
The claim checkers are also used for claiming a second or third time and
keeping items on the claim checker for future review. There was also
discussion about using the claim checker for your second and third claims
in lieu of mailing second and third paper claims.  Doing both is
considered double claiming. 

Sheila Wekselbaum reported that her specially funded project to
hire additional people to work on the backlog of materials in the Catalog
Department is temporarily on hold.  She was not given the go
ahead to hire until the money was actually in the Library
budget. She hopes that she will be able to start this backlog project this
fall after the Librarys budget has been finalized. 

Sheilas unit has also taken on an additional workflow to increase her
units accuracy in processing MVMs and comes bound serials. After these
items are received, marked and forwarded to CATA for record updating, they
get a flag put in them that says MVM Checked.  These are then sent
back to Lees area to be checked to verify that their call numbers
are correct and they have been updated in the Gladis where
appropriate.  These flags are then pulled out and the volumes are
forwarded onto the owning unit.  If you receive these materials
and the MVM Checked flag is still in your volume, please recycle them by
sending them back to CATA.

Agenda: 

Nijhoff/Swets transfer project/ Don Lee 
       
SwetsBlackwell purchased all Martinus Nijhoff titles. SwetsBlackwell then
sold Martinius Nijhoff standing order titles to Coutts, now known as
Coutts-Nijhoff and kept former Martinus Nijhoff subscription titles.
However Swets did not understand the title files Nijhoff provided and thus
provided Coutts incorrect order information (what our next volume number
should be). To complicate matters, Swets has sent us volumes against these
standing order titles although they sold the title to Coutts.  All this is
left to us to unravel since we have the all the correct information. We
are in the process of coordinating invoicing, amending volume
numbers that need to be supplied, and returning duplicate volumes.  
So you may still see some strange things going on with your orders for
these titles.  If you have any problems or questions with these titles,
please send your inquiries to Don Lee directly.

Berkeley Processing Manual update/Jon Solomon 
       
The room was set up with a projector for Jon to actually show us
the BPM he has reformatted and posted on the web. Jon
showed us the new site and gave a quick tour of the new pages.  In
addition to adding the new pages, he reformatted the entire old site into
the new web product. We all agreed he did a fantastic job over hauling
the site and loading the updated pages. The group decided to leave the
old BPM up for a while before completely deleting it from existence.  Jon
will send the URL out to the group to view the site and give him back
feedback on the site.  Everyone needs to browse through and use the new
BPM and send any questions or comments you may have to Jon.  The BPM will
be on the next agenda for a last round of comments before it goes live.
At the next Technical Services Council meeting, Jon will show the council
the new BPM.
