Deaccessioning from NRLF - Ginny Moon

Ginny Moon spoke about the  NRLF deaccessioning process and explained
in detail how items are stored. Everyone must fill out this form prior to
deaccessioning items. Samples of this form were passed out to members
present. There is also a method for e-mailing your deaccession requests
(contact Ginny Moon for details). 

They have compact shelving at NRLF and they shelve by size, not LC
CALL NO. This means that deaccessioned items must be replaced by other
items of the same size.  NRLF must know spine width to reuse the space.
Each newly accessioned item gets a new or reused NRLF label. Because NRLF
reuses the space vacated by deaccessioned items, it is important to remove
the NRLF barcode when deaccessioning.  If the NRLF barcode is left on a
deaccessioned item, that book will return to NRLF.  Worst case scenario:
you deaccession a book and forget to remove the NRLF barcode.  NRLF reuses
the space and assigns it to a new book which circulates. Your
deaccessioned book returns to NRLF and is discharged thus clearing all
circ info for the correct book.  NRLF will not be able to recreate the
circ info or know who has the book. 

If the book is at NRLF and you know you want to deaccession it, don't
have it circulated to you.  Rather, complete the deaccession form and NRLF
will direct the book to you after deaccessioning it. Once a book is
charged out, it is difficult to manipulate the V/C.  If the book is in
hand, you are responsible for measuring spine and removing the NRLF
barcode. When measuring spine, please round down! 

Collections Advisory Group (CAG) may need to get involved, as storage
decisions are made by selectors. An authentication file is possible, but
is desirable to keep things simple. 

There is a lot of duplication at NRLF, so if you find dups in NRLF,
by all means, deaccession them. An item counts as a dup if another campus
already has it stored. 

Only the owning unit can deaccession an item. If for example PUBL
wants a book that MAIN owns to be transferred to PUBL, MAIN must
deaccession and follow transfer procedures, if
apppropriate.

A handout of all the existing label codes was passed out to members.
If you have any problems or questions about these label codes, please
contact Judith Walker (jwalker@library.berkeley.edu). These codes and a
definition of what they produce can also be found in the Berkeley
Processing Manual (BPM). 

It was decided that first issue label codes would be left at "n" for
no label so that branches could review what type of label they may want.
Branches could then change label code to the type chosen.
