BTECHGRP Web Site Update 
     
The meeting minutes for November 1997 are up on the Library Web. Also,
please visit the UPDATE page for announcements regarding future training programs 
to be offered by HEALTH * MATTER S. 

The BTECHGRP ROSTER has also been revised to provide new and veteran staff
a direct contact with those who perform similar duties and tasks. 

Serial Duplicates 
 
For Subscriptions: 
Please refer to Serials Payments only inexpensive (less than $50/issue) 
duplicates with BOTH labels or copies of labels at the 3rd successive
duplicate. 

Check in and note the check-in records for the first 2 duplicates. It is
no longer necessary to refer all RoweCom duplicates. But it is very important
to refer the labels. Just as with address problems, it seems to be almost 
impossible for the publishers to  correct the problem unless they can see
their labels. 

As always, send expensive duplicates (more than $50/issue) to Serials
Payments. 

For Standing Orders: 
Please return to Serials Payments ALL duplicate material from standing
orders, or expensive subscription issues.

INNOPAC Check-in Problems: 
ISSN Fields 
Chikako Pierce has been experiencing problems with ISSNs that were
manually inserted into INNOPAC that have been deleted since INNOPAC Release 10. 
Some staff in other units have experienced the same problem. Since the
ISSN field is edit protected, this problem may need further investigation.  
The group suggested that the problem be referred to Jim Woodmansee/Systems Office. 

Transactions Dates: 
Fatemeh Van Buren and Judith Weeks have observed that INNOPAC check-in
information (status, cover dates and transaction dates) have been updated
inaccurately.  This occurs when issues are received out of sequence. In
the example below vol. 22:11 (Nov 97) was received on 2-2-98 and the 
v.23:1 (Jan 98) was received on 1-30-98.

Staff who are using shortcut or function keys for check-in purposes,
should review the check-in card before leaving a record. Not only does it cause
problems for staff and patrons who are trying to interpret our records, but
adjusting claiming parameters in error could result in missing issues or 
lapsed orders.

Piggy back barcodes: 
     
Kelly Ward asked the group if they were experiencing problems with piggy
back barcodes.  Staff voiced concerns about the difficulty in wanding the barcodes. 
In addition, the adhesive leaks after it is applied to the book, resulting in pages
sticking to the inside back cover and/or other books.  After a brief
discussion, it was the consensus of the group to voice this
concerns regarding the quality of piggyback barcodes to PSAG-TS.

EBSCO Skipped Issue and Lapsed Order Claiming/Update - Rebecca Green,
Judith Weeks

Judith reported to the group of the recent EBSCO representative visit to
the Order Division. She described claiming problems she was having, in
particular with responses "Too Late  to Claim". The representative
explained the use of their "claims checker" notices.  If these notices are 
not returned within fifteen days, the claim is dropped. When INNOPAC
CLAIM2 claims are generated, they are handled by EBSCO as first time
claims. It is better to return the claim checker late to EBSCO, than not
return it at  all. EBSCO can force responses from the claim checkers back
into their system. 

Rebecca explained that EBSCO was in the process of redesigning their
internal automated system to be more flexible. Judith also added that
EBSCO was very interested in  hearing about any problems, especially
because of the competition with ROWECOM. Because of this, and the amount
of electronic journals on the rise, another  representative will be added
to the West Coast territory. 

Staff should also be alert to claim acknowledgements.  Chikako Pierce
pointed out  that she has found errors.  Errors such as incorrect ILS
(Integrated Library System, e.g. INNOPAC) numbers can be circled in red
ink and reported to the Order Division. 

Rebecca reported on address changes.  Address labels are printed in 
advance from the Philippines.  Supplies of pre-printed label stocks have 
to be depleted before  changing to a corrected address label. It could
take six months to a year to correct an address problem. 

In addition, Rebecca reported that some publishers use a master zip code
database purchased from the US Postal Service. If the zip code that we
have supplied does  not appear in this database, the publisher will not
ship to that address. To avoid delays in shipping, the Order Division has
deleted all zip +4 codes from the bottom line of the INNOPAC shipto
addresses. When shipments arrive in Oakland, they will be  bar-coded with
the default zip +4 code 94720-0001. The Order Division has left the zip +4
codes in the "building information line" of the INNOPAC shiptos.

Sue Miller asked about claim responses from ROWECOM. Rebecca responded
that staff could view their claim responses on-line via their website
using involved with claiming can now view claim responses from our vendor
ROWECOM on the Web. Rebecca will send an e-mail message via the BTECHGRP
reflector regarding passwords and training workshops. 

Steve Mendoza asked about telnet emulation problems with Harrasowitz.
Rebecca suggested that he contact Jody Bussell. 

At the close of the discussion, Rebecca asked the group to send any
payments related questions or concerns to her or other Serials Payment 
staff.
