Among my various duties at Hamilton College, I am the "yet another
clerk" who places the rental orders with Swank and other companies, on
behalf of any faculty member or student organization who wants to
sponsor a public performance. I place an order for each film or a whole
list of films, for the specified showing date(s). Fortunately, I don't
need to go through our purchasing office to get authorization for each
order! The DVD (or VHS tape or 16mm film) is shipped to me. I make sure
that it gets to the right venue on the right date, and I return it to
the distributor afterwards. I process the invoice and send it to
Accounts Payable.
Yes, Swank insists on sending us the actual movie, even if we have a
copy in our library. Some companies will sell us a license for a showing
of our own DVD.

They send the movie (whether you need it or not, apparently) and you must return it using the label provided. Each title and show dates are licensed individually, I guess. I assume if you are doing a pre-planned film series, it would be one long document, but if you want to have a showing of "Inconvenient Truth", for instance, you must make that request, get the invoice. VIDEOLIB is intended to encourage the broad and lively discussion of issues relating to the selection, evaluation, acquisition,bibliographic control, preservation, and use of current and evolving video formats in libraries and related institutions. It is hoped that the list will serve as an effective working tool for video librarians, as well as a channel of communication between libraries,educational institutions, and video producers and distributors.
