The Affiliated Libraries Administrative Group (TALAG) Meeting of December 6, 2006

1. Announcements

• Waverly – Point of clarification: As far as I know, CDL is not dealing with born-digital documents.

• Linda – Harrison Dekker will be available for a meeting with the Affiliateds in January and she will arrange a date and time.

• Maryly – Received the 2007 Distinguished Service Award from the Visual Resources Association. It is unclear what is going to happen to the Architecture Visual Resources Library following her retirement in mid-December.

• Chuck – Will be hiring an LA IV or V.

• Rita – Open Reference Librarian position will not be filled for foreseeable future.

 2. Minutes of the September 6 meeting were approved.
 
3. NRLF Early Bird November 27 – Several items came up of interest to the Affiliateds.
 

• Google Scanning – The Google book scanning project includes some Affiliated material at NRLF. Google has asked to have the N-level Gladis records upgraded to full MARC records. Nick, Linda and Rita will find out whether the programming to do this can also be used to get their records into Gladis. Books that have been scanned do not have links in the corresponding Melvyl record; apparently no one involved in the project planned for such access.

 

• Persistence – The persistence policy is supposed to allow libraries to manage collections with the assurance that items at NRLF will not be withdrawn. Persistent material cannot be withdrawn; if it is recalled to the campus, it must circulate under RLF codes. NRLF will, however, work with libraries in cases where an incomplete run of a serial has been deposited and a second library wishes to deposit a complete run. Special collections are not bound by persistence policy.

 

• Merging RLFs – There has been some discussion of merging the two RLFs as a cost-saving measure and this would include eliminating duplication between the two facilities. Bernie used the phrase “unintended duplication” and said he needs us to provide him with arguments for why this should continue. Disaster resumption has not been considered as a factor in justifying continued duplication between north and south. A turnaround time of 3-5 days for retrieving material was deemed acceptable.

 
4. NRLF Deliveries to Affiliateds – Nick will contact Isabel and ask if Affiliated deliveries could be made to locations other than Moffitt such as Environmental Design where deliveries are also made.
 
5. CDL – Nick will invite Laine Farley to meet with us in February.
 
6. Teaching and Learning Spaces Task Force – Terry said a report should be out in late January and will look at blueprints for collapsing classrooms, libraries and computer labs. Site visits to Stanford and other locations have been conducted. This could serve as a long-range guide for remodeling buildings on campus. Terry sees this effort as mostly positive and will send the URL for the report “Learning Spaces.”
 
7. Outreach Activities – Linda asked what we are doing to attract users to our libraries.

• Rita – Librarian visits other ITS units at UCLA, Davis and Irvine once a semester, expedites loans of books and provides photocopies. GSRs hold office hours in library.

• Chuck – SF State undergrads in new civil engineering program use library.

• Nick – Works with Political Science faculty to generate assignments that require students to use print material in library.

• Terry – Provides monthly electronic newsletter to subscribers; RSS feed; blog. Will do web pages for faculty. Provide visiting scholars with carrels and locked storage space.

• Marci – Teaches lots of classes in conjunction with specific assignments for seminars. Large number of time-consuming one-on-one consultations have a big payoff. Real-world search session geared to searching by practicing attorneys.
