TALAG Meeting Minutes

MINUTES

Attendance: Paul Atwood (Affil Rep), Lillian Castillo-Speed (recorder), Susan Garbarino, Ruth Girill, Ron Heckart, Dan Krummes, Waverly Lowell, Linda McLane, Nick Robinson, Maryly Snow, Linda Vida (Chair)

Old Business
        Minutes from May 12, 2004 were approved with minor corrections noted.

Affiliated Libraries Grid. P.Atwood was commended for his work creating a web version of the grid.  Any additional revisions should be sent directly to him. ACTION: TALAG officially accepted the grid.  Next step: mount it on the Affiliated Libraries website. When this is accomplished send an announcement to CU News.

Survey of Task Force Recommendations and Action Items for TALAG. The following action items which have been prioritized by conducting a survey were discussed. Volunteers were asked to follow through on various aspects of each items ranked as priority one.
1a. TALAG should meet with the University Librarian or his/her representative on a regular basis.
2. The Library should adopt the general principle of inviting Affiliated representation or input on policies, projects, or actions that affect Affiliated Libraries and users of those libraries. Collections funding is an example of an important shared library function. Equally important are those groups that help define the public face of libraries to the campus community and beyond. Examples include WIG, WAG, and the committee revising The Library Web. This would ensure that Affiliated Libraries are adequately represented in these systems. Equally important, The Library could benefit from the Affiliated Libraries' special collections and professional expertise. [Issues, Introduction, 1, 3, 8]
3. TALAG and LAUC-B Executive Committee should recommend to the Executive Vice Chancellor and Provost that supplemental funds for collections include all campus libraries.
6. Although we would like to assume that invitations to Library-sponsored events and training sessions include Affiliated staff, to avoid ambiguity invitations to such events should routinely specify whether or not Affiliated staff are included. Special conditions applying to Affiliated staff should also be explicitly stated. [Issues, 2, 6, 7]
7c. Affiliated librarians should be considered for inclusion in WAG since its work will affect the Web presence of their libraries. [Issues, 2, 9]
8. To help campus library staff educate themselves and our users about the circulation policies
and procedures in Affiliated Libraries as well as catalog access to Affiliated Libraries' collections, we recommend the following:

8a. The Library's publicity, teaching and public service activities should reflect the variation of policies and catalog access across the campus.
9a. The Library's Web site should continue to publicize the presence of Affiliated Libraries on Web pages and other media, and the reverse should be true for Affiliated Library Web pages.
9c. TALAG should review the Affiliated Libraries web site for completeness (http://www.lib.berkeley.edu/AFFIL/). In addition, all Affiliated staff should be listed in The Library's Staff Web Directory. [Issues, 2, 4, 6, 7, 8]
13. The Library's Development Office needs to make it very clear that donations made to it are only for libraries that form part of their system. Donors should know that their donation will not reach any of the Affiliated Libraries unless specifically designated. [Issue 4]

Summary of Library Committees with Official Affil Reps & Other Ad Hoc Library Committees P. Atwood distributed an up-to-date list of the committees that affiliated librarians are currently serving on. ACTION: S. Garbarino volunteered to work with L. Vida to put together a comprehensive list of all library committees in order to find out what committees we should have reps on.  They may need to review each committee’s charge. The list should eventually include CDL committees as well. 

Library Card Update  As a result of M. Snow’s efforts, effective July 1, all library assistant staff in all Affiliated Libraries will receive the same borrowing privileges as library assistants working for The Library.  If an Affiliated Library has staff who is not in the library assistant series, they may need to ask for borrowing privileges for those staff on a case-by-case basis.  For official work within our libraries, we may borrow books from The Library using an institutional proxy card.  In the case of institutional cards, the overdue bill will not be sent to CARS.  M. Snow will send more details on this.

Update on Copier Issue. The directors of the four affected libraries will attend an informational meeting on Friday.  The Library has decided that it will fold the four libraries into their maintenance contract at no additional charge.

Location of Minutes  L. Vida requested a TALAG directory in the Staff directory. This should be completed in the next few weeks, then the TALAG minutes can be sent to “allusers” and archived there along with information about TALAG.

Content Management System Pilot.  This system will make it easy to turn a webpage into a brochure or handout.  The Electronic Resource Management System as well as ERD was also mentioned.  ACTION: Ask Bernie and/or Lynne Grigsby to attend one of our meetings and give a short presentation on these projects.

New Business

Summary of CDL Workshop. P. Atwood had a few minutes to give a very brief overview of the day-long CDL workshop. He reported that metasearch will affect us all at UC and nationwide.  Metasearch is a front-end system that will allow one query to search bibliographies, full-text, catalogs, databases, etc.  The question of how the results will be displayed is still up in the air.  There is no ranking system.  Libraries will be able to specify which databases to include in the search since there is a potential to retrieve thousands of hits. All the vendors will have to deal with this. Smaller and some freely available sources will not be included.  The big core products will be included and then others can be added later.  There will be subject specialty metasearching.  There is no official release date yet.  QUESTION: How can Affiliated Libraries’ resources be added?  Clarify with Bernie Hurley how we can participate.  QUESTION: Do we need to partner with a unit of The Library? P. Atwood encouraged anyone who has more questions about metasearch or other topics that were discussed at the workshop to contact him directly.
