E-mail List Policy, UCB Library

List Ownership

See the IST Knowledge Base for instructions about how to create and maintain a list.

  • List owners are responsible for keeping the membership current, transferring lists to new owners, and for deleting the list when it is no longer needed. List management will be performed via the CalMail website.
  • List owners are responsible for configuring their lists to accommodate email posts and attachments larger than 40,000 characters.
  • Some lists are owned by individuals based on position (e.g., LAUC-B chair). Each outgoing owner should make sure to designate a new owner via the CalMail website.
  • When individuals leave the employment of the Library, list owners will need to remove them from applicable lists via the CalMail website.
  • Owners will be reminded once each year to verify the status and membership of their lists.
  • Contact webman to have a list included, or updated on the Library E-mail Lists page.

Types of lists

The Library maintains several types of lists to foster communication and to conduct business.

  • Membership on lists for Admin, Cabinet, and Roundtable is restricted to members of that group.

  • Membership on lists used to conduct the business of a group is restricted to members of that group, except by invitation of the list owner. Regular communication about the work of these groups is available from minutes.

    Includes councils, task forces, and committees (e.g., Public Services Council, Workgroup on Access to Collections)

  • Membership on lists used to facilitate communication and conduct the business of a unit is restricted to members of that unit, except by invitation of the list owner, e.g., Area Studies Unit

  • Membership on lists for information exchange and continuing development are open to any interested staff. These lists do not have minutes, but several of them maintain archives.

    Includes various functional lists for public services, technical services, collection development (e.g., reference staff; selectors).

  • Some lists are established by library staff to support their professional work. Membership is determined by the list owner (e.g., Map Librarians).

Transfer ownership of a list

  • Go to https://calmail.berkeley.edu/
  • In the left side navigation, click on Manage Your Mailing Lists
  • Log onto CalMail.
  • Click on the name of the list you wish to transfer to a new owner.
  • In the left side navigation, click on Change Owner.
  • Click on this link to CalNet Directory to open another browser window.
  • Search for the name of the new list owner.
  • On the CalNet Directory Search Results page, click on the name of the new list owner.
  • At the top of the CalNet Directory Details page, copy the UID.
  • Toggle back to the CalMail browser window.
  • In the Change Ownership of a List box, paste in the CalNet UID of the new list owner.
  • Click on the Change List Owner button.

Increase the allowed size of mailing list posts and attached files

There is a built-in majordomo variable, named maxlength, that limits the length of postings and attachments to your majordomo mailing list. If you do not explicitly set maxlength then it is set by majordomo to 40,000 characters.

The solution is to explicitly set maxlength to a larger value within an mailing list's configuration.

To edit the maximum length of a mailing list post or attachment:

  1. Go to the CalMail home page
  2. Click on the Manage Your Mailing Lists link.
  3. Enter your CalMail/e-mail account name and password. Click on the Login button.
  4. In the Manage your mailing lists bullet list, click on the link that reads Edit Majordomo Configurations.
  5. Select the list you want to edit by clicking on its Edit Config radio button
  6. Submit the request with the Edit Config button.
  7. Scroll down the page. The last entry to edit is Maximum Length of Postings. Type 100000 in the Maxlength text box.
  8. Click on the OK button.
  9. Click on the Continue button.
  10. Click on the Logout link when you are done configuring your mailing list.
