Approval Policy for Installing Software on a Staff Computer

Policy written and approved by Library Administration 12/05/07

The 2007 Information Technology Audit of the Library identified unauthorized installation of software on staff computers as a security risk. The Audit directed Library Systems to either revoke any "administrator privileges" given to staff on their PCs, or to implement a policy that requires permission from Library Systems to install new work-related software applications. After consultation with library managers, the Systems Office has agreed to implement the latter option with approval authority being delegated to Library Unit Heads. Non-work related software should never be installed on Library computers.

Pre-Approved Software That Staff Can Install Without Explicit Approval

  1. Any software available from software.berkeley.edu, or identified as supported on the Library Staff Software Standards List, has been pre-approved for download and installation on staff computers.
  2. Upgrades to already approved software applications, including browser plug-ins and extensions.

Approval Process For Other Software Applications

  1. If the software you wish to install is not pre-approved, ask your supervisor/manager/Unit Head to have the Systems Office (helpbox@library) order the software for you. Software ordered through the Systems Office will be reviewed as part of the order process.
  2. If you are not obtaining the software through the Systems Office (e.g. freeware, shareware, paid for by another means), your Unit Head can approve the software installation if they deem it to be work related. If approved, the Unit Head must inform the Systems Office of this approval by sending a URL that names and describes the software to helpbox@library.

Please do not download software applications from the Web without approval. Software downloaded from the Web may:

  • contain spyware and/or viruses
  • violate copyright laws
  • violate licensing agreements
