Free Speech Movement Cafe Educational Programs Committee Meeting
April 25, 2005 3-4:30pm
303 Doe Library

Present: Beth Sibley (chair), Nick Robinson (recorder), Steve Mendoza,
Margaret Phillips, Gillian Boal, Mike Rancer.

1. Announcements

Beth thanked the 2004-05 committee members for their work in screening
applications, planning programs, and facilitating the four successful
events. She hopes the good relations the committee has established with the
student groups who have presented regularly will result in more proposals
in the future.

2. Thank you letter for FSM Café staff / Stradavarius Catering

Gillian and Beth are drafting a letter to the FSM Cafe manager Jaime Diaz
w/ copies to Darryl Ross, owner, and Kelly McCartney of Stradavarius
Catering, thanking them for their cooperation and assistance.

3. Evaluation and Recommendations for Next Year

Programs

FSMEP presented four programs:
* Students, Power, and the Desires of Society. Sponsored by DeCal
(Program for Democratic Education at Cal). Tuesday October 5, 2004.
* Global Warming: The Effects and Preventive Measures. Sponsored by ECo
(The Environmental Coalition). Wednesday November 17, 2004.
* Invisible Children: The Effect of the Sudanese Civil War on Children.
Sponsored by Bears for UNICEF. Tuesday March 29, 2005.
* From Hot-Boxing to the Slammer: The Blunt Truth About the Drug War
and Racial Justice. Sponsored by Berkeley ACLU. Wednesday April 13, 2005.

Each program cost approximately $850, including:
* $500 food for 75
* $100 chairs
* $250 stipend for student organization

Mike clarified that the FSMEP budget comes out of Café proceeds.

Publicity/Flyer/Outreach

We reviewed the committee manual and updated the publicity checklist in
Appendix G. We discussed the need for a good location in the Café to
display information about upcoming FSMEP events, and decided to approach
the Café manager about the possibility of using space on the counter.

Facilities

Chair rental was problematic, with a poor record of no-shows and
insufficient chairs. FSMEP recommends the purchase of 50 plastic folding
chairs. Beth will talk to Jewell about vendors. Mike Rancer will talk to
Miguel about possible storage locations.

Glare from the direction of the west patio is disruptive, particularly when
the program includes projection. Mike will talk to Fred about possible
window coverings.

Committee Structure

Since only two committee members from the library will be continuing, we
recommend that a call for new members be issued as soon as possible.
Optimally the full committee and new chair should be chosen by July 1 at
the latest. This will give the 05-06 committee adequate time to plan for
Fall Semester programming.

Steve will look for Patty’s call for members email, send it to Beth, who
will update it as needed and send it to Mike for posting to allusers. We
discussed using the call to highlight FSMEP as an all-library program,
inclusive of subject specialty and affiliated libraries.

Food

We discussed having food after the program instead of before. This might
encourage the audience to stay for informal discussion and networking after
the program. We recommend the following schedule:
* 5:45 doors open
* 6:00 – 7:30 program
* 7:30 – 8:00 reception with fruit, dessert items, etc.

4. Expansion Plans for the FSM Café

Mike shared plans for adding outdoor seating -- 96 fixed seats under a new
canopy and 50 more fixed seats under the building overhangs. Construction
begins as soon as finals end. The terrace will be closed for the summer.
Construction will be completed by the beginning of Fall Semester.

5. Future Projects

Beth will have the 2004-05 program descriptions added to the public web
page. We discussed making more effort to document programs, including
taking photos. Beth suggests distributing a survey to attendees (at oneor
more programs next year)and ask them for suggestions for programs­if they
were in a group that might want to organize a program, improvements to
program format, venue, food/beverage, etc.

6. UCTV

Nick reported on his meeting with Lynn Burnstan, Director, and Allison
Gang, Communications Manager of UCTV, to discuss possible collaboration.
UCTV broadcasts 24 hours/day, seven days/week via cable and satellite, and
also streams to the web. If FSMEP is planning a program that may be of
general interest, contact UCTV about possible cost share on production via
UCB Office of Media Services. UCTV does post-production free of charge, can
help getting broadcast permissions, etc. They typically need a 6-week lead
time but can respond quicker for high-priority events.
