Announcements

Matthew Prutsman made an announcement to let him know if the group had any
issues they would like to bring up with the Education Initiatives Council.

If any library receives material from the Church of Scientology they
should be returned to the sender and not to the Gift and Exchange
Division.

Peter Soriano announced that Main has recently started using pagers for
its study rooms and they are working quite well and to contact him if
interested. Patrons seemed to know what they were for right away and UCSD
is using a similar system for their reserve material.

Minutes Approval-January 2008

The January 2008 minutes were approved unanimously.

Security Issues-Angela Arnold

Angela Arnold expressed some concern regarding library security and felt
there may be some issues that need to be addressed which affect both staff
and patrons. Though there is a Library Safety and Security Committee,
there doesnt seem to be much coordination or use of resources among the
committee, front-line staff such as Circulation Supervisors in the
subject-specialty libraries, an the UCPD.  This may lead to confusion when
problems do arise. Angela would like to give a survey at the next CGS
meeting regarding security issues, policies in place in each unit, and to
get a snapshot of the setup in each unit to possibly find any problems, as
well as to get input from staff. (The following points were added to
clarify examples.)

o One example she gave was a patron with a substance abuse problem was
banned from an old location. After much of the staff had been replaced he
began exhibiting odd behavior at the new location.

o A second example was that a special needs person who had come into the
library with a case worker went into the staff area and grabbed a
collection item and the situation got somewhat out of control.  Mark
Marrow suggested that we consult with Gisele Herrmann (Media Resources),
Chair of the Library Safety and Security Committee, and refer to the
Safety and Security Manual as well. Unit heads should be relaying and
filtering information, such as incident reports, to their respective
departments. However, the unit heads can't always be relied upon and some
of these issues could be passed on to Roundtable.  The Safety Committee
should be developing training as well.

o There was mention of a library walkthrough program years ago involving
UCPD.  The program was discontinued after a key administrators
retirement.  Security procedures seem to differ from library to library,
because of physical location. Some procedures involve non-Library building
managers; each building has a unique set of problems. Also, a lot of
libraries are heavily dependent on SLEs. These are some issues that could
be brought up with the Library Safety and Security Committee.  A security
matrix may be helpful in the interim (all unit heads received a copy at
the Round table. It is also available at

what to do call UCPD.

New Directions Discussion

The New Directions discussion at the most recent CSG meeting was focused
primarily around new models for serving the public better (outreach) and
the tandem concerns about how to provide novel or evolved services with
the same staffing and spaces.  Following a brief introduction the
following ideas, concepts, requests and suggestions arose:

Copy Service efficacy, more responsive, technologically forward leaning.
Requests for improved services included:

o wireless printing

o Consolidation and unification of copy card account services and
microcomputer facility student accounts.  One card for all purposes.
[already implemented at UCLA/SRLF]. Workarounds already in effect
at the unit level include recycling discarded copy cards for courtesy use
for one-time users, etc.

o Walking away from privatized service, providing homegrown copy service
alternatives

o Uniformity of machinery across locations and within the larger units.

  A common desktop initiative which gives wider access to programs on
public computers.  Where students, staff and faculty will be able to save
work more easily on flash drives, and can access the Microsoft Office
Suite, Photoshop, etc.

Combination of centralized services while retaining collections
autonomy; such as universal discharge, provided there are also staff
tasked to audit the process and locate errant materials.

 A more dynamic ILS which allows for more nuanced transaction histories
and record-keeping in the item record apart from the patron record,
allowing for better informed interactions at public service points.  An
ILS which could also include more detailed In- transit messaging would
be instrumental to larger Universal Discharge plan.

 There were concerns voiced about a need for a baseline level of
training/understanding across all services regarding any new direction,
and many older directions. Perhaps the Teaching Library could be expanded
to include training for Library staff?

 Tactical search teams for unrecoverable materials: detecting lost,
misplaced, claimed returned items for all units. More effective search
techniques and more frequent shelf reading to better provide resources to
patrons and to prevent repurchase of misplaced items.

 Revitalized PC Experts program, ongoing techno-training, creating a
baseline general tech understanding expected at all units.  Putting PC
Expert role into new job descriptions.

 More seamless means of access to services immediately for Visiting
Scholars, new Faculty and Postdocs, who are currently required to navigate
some steps to access that should be automatic upon appointment/ID card
dispensation.

 Decentralized provision of public service functions where staff and
students are operating within the collections.  This could lead to any
number of changes such as RFID, self checkout, and directional assistance.

 Routinely audit the staff, unit & SLE circulation logon accounts for
appropriate authorizations within GLADIS.
