Minutes

II.	Announcements:
A.	Mark – DOE closed 8/3 at 5pm to 8/5 8am.
B.	Angela Arnold -- Lamplighters will do HMS Pinafore.
C.	Updating of Services list from last month.
D.	Introduction of new employee from Ed/Psych Library – Hans Protzel.
E.	Sheehan – Effective Referrals sheet 

III.	Minutes approval.  None available, to be done at next meeting. 

IV.	Replacement Fee Increase – Brice Sullivan
A.	It was suggested that affiliates be advised. Refer to Pub. Services Council as to how or if to release information to the public.
B.	Default replacement fee hasn’t been changed by Library Systems Office yet. It will probably be done by August 1st. 
C.	Discussion:
1.	Brian Light – would posting of fines be an incentive for patrons to bring overdue items back?
2.	Jutta Wiemhoff – non-UCB patrons also need to be informed of the fine increases when they borrow NRLF items.
3.	Mark Marrow – no price publication for overdue or replacement fees. 
4.	Sheehan Grant – will contact Isabel Sterling to find out if fine increases can be publicized. This may go to PSC.
5.	John Berry – Affiliate libraries should be notified, even if they don’t use GLADIS. This might influence their decision whether to raise their own fines. 
6.	Ted Couch – do CARS cards specify default replacement fine cost?

V.	NRLF items Jutta Wiemhoff
A.      Units need to assist with cleanup of overdue NRLF material and get items back to NRLF in a timely manner. 
1.	Check shelves and resolve outstanding overdues, i.e. TRF- TRT- PUP-, items charged to missing, withdrawn, old sundry debtor bills.
2.	Items that linger too long on the hold shelf won't get scanned as part of the Google digitization project. 
3.	Accurate and up-to-date circ info in Gladis helps depositors when they search Gladis to see if a title/volume is already in storage before deciding whether 
        or not to send it to NRLF. 
4.	If items are truly missing, units must make a reasonable effort to replace them as per the RLF Persistence Policy . Deaccessioning is no longer an easy option. 
5.	Collections Council is discussing the replacement issue with the aim of rationalizing procedures. 
B.      NRLF items being recalled back to owning unit:
        Jutta reminded the group not to remove PRV (provenance) notes displaying in GLADIS for items that have been recalled to campus. These notes load into Pathfinder
        and Melvyl, where they may format oddly. They look like this: NRLF On Recall to [campus] [date]; [item information, if necessary] shelved at [owning library]."  
        While the owning unit may change the circulation code on a recalled item, it is important to keep in mind that the policy states that they must circulate in accordance 
        with RLF policy, including ILL. (Paragraph about Recalls from NRLF's website : "A depositing library may recall its deposited items from NRLF for return to its local 
        collections indefinitely, subject to the policy on Persistent Deposits in UC Regional Library Facilities (2/20/06) and any other applicable UC collection management

VI.	Report back from the Circulation Notices Documentation sub-group
A.	Ted Couch – Could flowchart be made that illustrates what happens with CARS cards? One already exists, but could be better constructed to be a better aid. 
B.	Mark Marrow – This may be ready for August CSG meeting. 

VII.	LSO report – none (Penny Bertrang not in attendance)

VIII.	Other business:

April 1 – Fines increase.
July 1 – Replacement increase.

NRLF:  Returns and over dues and replacements important for scanning projects.  Everyone please check your shelves.

HR coming to next meeting regarding student wages.
