CSG Meeting Minutes 
18 October 2005

- Members introduce themselves 

2. Announcements
– Zachariah Veley moved from ED-P to EART.
- Norman Beaudoin passed away in the evening of the 17th October 2005.
- The new BIOS Night Supervisor, Sheehan Grant, was introduced to the group.
- Chris Guerrero to begin working 8a – noon at Social Welfare Library, and remainder at MAIN.

3. Minutes Approval
- All amendments emailed to Brian Light, are going to be integrated into the final iteration of the minutes.
- Norah Foster noted that her announcement re: the Graduate Services new Data Lab.  It should include 
Harrison Decker as the point person for undergraduates to contact if interested in an instruction session 
on how to use the data sets.
 
4. Discussion on reserves – What libraries serve which departments
- Marianne McDonald introduced the discussion by explaining that the Business & Econ Library 
reserve policies, followed by discussions of many other present libraries policies regarding reserves.  
It was suggested that we compile a list of all the various policies regarding what does and does not 
get placed on reserve.  This could be used to refer both professors and students to the correct reserve 
unit for their department.

ACTION ITEM: Jonathan Thomas agreed to compile a list of all of the various policies for review at 
the next meeting, provided they were forwarded to him via email.
- Marianne McDonald suggested that the information be placed on the Circulation Services webpage.
- Penny Bertrang mentioned that the LSO has a small committee currently trying design a beta-version of 
a realtime Gladis access space for faculty to use on their respective websites that will advise students 
of an item’s status at the actual professor’s point of contact (bypassing Gladis from the end-use
r standpoint and utilizing it clandestinely from a system standpoint).

5. LSO Report
– Penny Bertrang briefly review the past month’s LSO projects, as described briefly below.
-The replacement of Social Security Numbers (SSN) within the patron file
- A short discussion followed a question about lack of sufficient advice to patrons in advance of 
rollout of the change.  It was agreed the wording in GLADIS might have been a bit too vague in an 
attempt to keep the copy accessible; the information on the Library web may not have been in a prominent 
place for a long enough period.
- PIN#'s can be changed to any four digits the patron wishes to use, including last four digits of SSN.
- Stanford faculty and students PIN#'s were not changed.
-Howard Hughes (HHM) and Visiting Scholars (VIS) affiliates are now being issued Cal Photo 
IDs with an employee ID-type barcode.  GLADIS was augmented to allow these IDs as valid patron ID.
-Patron type was created for UC Merced Students, Faculty, and Staff.
-New FTP Server installed to meet campus security standards
- Gender and Women Studies (GEND) course abbreviation was added to the Gladis HELP ABBR screen.  
This course abbreviation may be used for GLADIS AutoReserves.
-Reset circ codes for SOCW books (from F to A) and EAST non-book/non-serials (from H to W).
-Problem getting GLADIS maintenance windows sessions (which was recently fixed) was discussed; 
review of logon procedures.
-New Postdoc title codes implemented in GLADIS.  Patrons previously not identified as Postdocs 
will now be loaded as Postdocs instead of Faculty.
-Preview of upcoming LSO items

6.  Comments / Other business
- Inquiries into next meeting date; request that schedule be itemized alternating, time and location 
going forward; and on the website if possible. 
- Norah Foster requested a discussion of replacements and selctions during the next meeting
- Penny Bertrang advised the committee that the CARS data is transmitted 5 days/week automatically, 
but that irregular or duplicate records often kick out of the system to be corrected manually by 
either LSO or CARS.  She advised a number (50-80) of such records may be getting cleared up soon, 
and to be aware that patrons with old, previously unpayable bills may surface.
