Circulation Services Group Meeting - Minutes - August 16, 2005

Tuesday, August 16, 2005 (2:00-4:00PM)

Present: Brian Light (Co-chair), Claudette Smith (Co-chair), Marianne

I. Introduction

Trina Lopez is the new Circulation Supervisor in Art History/Classics
Library.

II. Announcements

a. NRLF Phase 3 is complete. The new lobby and reading room are very nice
and spacious.A new microform reader/printer has been set up. The Airbears
wireless service has set up, enabling connection to the campus network.
NRLF will have an OPEN HOUSE; but the date has not been determined.

b. Security Task Force has been formed. It focuses on “The Library’s”
security, not just DOE/Moffitt. The task force is looking at all aspects
of security issues: physical and electronic threats. Meredith encourages
representative from different libraries to join the committee. In
addition, the committee highly recommends addressing any concerns, and
questions to the task force. Email Mike Rancer for more information. He is
the contact person if you are interested of joining the committee.

c. Joe Mitola is taking another job on campus. He will be transferring to
the Office of the Registrar. Systems got permission to fill his position.
They are on their way of recruiting an actual programmer.

III. Discussion about Circulation Services Goals

Q: How do we monitor/follow-up that the objectives outlined in The Goals
for Circulation Services are being done?

Suggestions:
1. Verify everything: 
Give the work leader the responsibility to double-check her/his peers work.
a. List/scan/flag each book that needs to be shelved, then have the work
leader/supervisor make sure that they are filed in the right place.

2. Assign designated trucks and shelves for shelving, and stack maintenance. 

3. Give students an opportunity to double-check their work. 

4. Point out their weaknesses, and at the same time, re-educate them on
how to do the task the right way.
	
IV. LSO Report

Penny brought us up to date on Systems related issues from
7/19/2005-8/16/2005

7/29/2005 New CPER Location: Ran a batch job to transfer MAIN holdings to
the new CPER location based on records from an excel spreadsheet, provided
by CPER group. 4600+ records affected and resent to
PATHFINDER/MELVYL/RLIN.

7/29/2005 TCPIP shutdown: Shutdown and restarted all TCPIP connections to
turn off the WYSE autocirc access on (unsecure) port 1059 now that all
WYSE terms at the circ desks have been replaced with PCs.

8/6/2005 Remove SSN from patron file project: Changed List Notice program
and Postcard Notice program to remove printing roster #/CA DL on list and
postcard notices.

8/10/2005 Remove SSN from patron file project: Changed PATRON record
definition in preparation for removing the SSN and CA DL fields and adding
new RCPL COOP number and Birth date fields.

8/15/2005 New Semester for reserves: Changed default semester from U05 
(Summer 2005) to F05 (Fall 2005) after 5:00PM

V. Other Topics that were Discussed

1. Student Library Employees: Where are they?

There was a concern that there are the number of students applying for
library jobs is less this semester. The theory is that it might have to do
with Adria'’s leave and a new person taking over.

Scheduling Tips/ Training 
Negotiate
Set meetings 
Ask for preferred time slots.
Advertise incentives: shift deferential, supervisory pay, etc.
Hire and make needed hours required 

Future Agenda:

a. Where does official rules of circulation/sensitivity policy exist?
