Circulation Services Group Meeting - Minutes - June 21, 2005

1. Introduction and Announcements:

The Attendees introduced themselves.

Emily Ortiga has left Art/History Classics

Esther Gold will be leaving Moffitt to work at the Music Library in
Circulation until June 30, 2006.

2) The Minutes were approved.

3)LSO Report  Penny Bertrang

Penny brought us up to date on systems related issues from 4/18  6/17 

a) 4/18 SHORT display for Web resources.  A new version of the Gladis
SHORT display was implemented which places Web Resources as the first
holding in GLADIS.

b) 4/21-4/22 Security change, date correction. California Driver's License
numbers are no longer displayed in autocirc, and the expiration dates in
GLADIS autocirc displays have been standardized to MM/DD/YY.  California
Driver's License numbers are blanked out on the patron edit screen for
users with search only privileges.

c) 4/28 New text for Main e-pickup notices.  The new text clears up some
confusion by stating “... are being held at the circulation desk in the
Main Library”

d) 5/27 Move support : MARK, PHYS, MOFF.  Changed the HELP screen for
MARK, PHYS and LIBRARIES screens to reflect the new addresses of the Mark
Twain Papers, Physics/Astronomy, and the shift from UNDE to MOFF.

e) 5/28-5/29 Migration to new Tandem. Moved GLADIS to the new, faster
Tandem machine.  In the week following the migration, many minor changes
were made to accommodate the new machine, including changes to implement
new secure printing of post cards.

f) 6/3 Garbage characters in Telnet GLADIS.  Some complaints from patrons
and staff who were connecting to Gladis via telnet reporting that garbage
characters were popping up and affecting the ability to renew items in the
inventory screen. This problem was corrected.

g) 6/7 Further changes to terminal emulation problems. A problem was
reported that circ terminal screens were having display problems. This was
related to a previous fix. The problem was corrected, and circ terminals
now display normally.

h) 6/8 New pickup grace periods for Ethnic Studies.  ETHN, AASL, CHIC and
NAS now have a 5 day pickup grace period.

i) 6/8 New default circcode for EAST.  The default circcode for EAST was
changed from “H” to “W” on non-NRLF miscellaneous materials and NRLF
Limited Circ items.

j) 6/14 Call number handling in records loaded from OCLC.  EAL asked for a
change to the standard call number handling for “FILM” coming from OCLC.
The program that loads records into GLADIS from OCLC changes “FILM” to
“MICROFILM”.  EAL did not want this for their CCSL and EAST records. The
program was changed to bypass this handling for EAST and CCSL.

k) New index for ICPSR records. Changed GLADIS programs to validate and
index the ICPSR study numbers which will be stored in the 035 field.

In addition to this, there was a discussion about the upcoming removal of
Social Security numbers from patron records in order to comply with state
law and campus security standards. One of the immediate impacts that will
be seen in circulation is that UCB patrons who usually use the last four
digits of their SSN to access their GLADIS inventory through Telnet, will
have to use their birth month and day as a PIN instead. This change will
probably occur sometime in early August.

Along with this issue, there were several questions about how the library
will be able to bill off campus patrons, and keep them from creating
multiple accounts, if we do not use the patrons SSN or Driver’s License.
The group will be interested to see how this issue will be handled.

4) New Co-Chairs - M.Rodriguez & L.Dexter

Claudette Smith and Brian Light will be taking over for Madalene Rodriguez
and Lauren Dexter.
