CIRCULATION SERVICES GROUP MEETING MINUTES
Tuesday, April 19, 2005 2:00-3:30, 303 Doe Library

Present: Madalene Rodriguez (Co-Chair), Lauren Dexter (Co-Chair), Carly
Benham, John Berry (Recorder), Penny Bertrang, Jim Boydstun, Ted Couch,
Daina Dickman, Meredith Fleming, Norah Foster, Lynne Grigsby-Standfill,
Brian Light, Marianne McDonald, Emilie Ortiga, Claudette Smith, Peter
Soriano, Brice Sullivan, Jonathan Thomas, Nga Tran, Judith Weeks (for Lea
Mascorro), Kim Wu.

1. Introductions were made.  Welcomed Daina Dickman, new Circ. Assistant
half-time in Math, half-time in Physics, and Virgilyn Abibas, new Circ.
Assistant half-time in Anthro, half-time in Chem.  Jonathan made an
announcement regarding location changes in GLADIS from UNDE to MOFF.

2. Minutes from March 15 were approved.

3. Circ Statistics:  Question was asked regarding current stats usage,
“Are they found to be helpful?” Send comments regarding this question to:
Lynne Grigsby-Standfill.

Another question was raised regarding: Discharge counting statistics, can
that be done?  Penny Bertrang replied that this would require some
programming, but more significant, massive file storage.  So, probably not
a high enough priority.

4. Revised Course Reserves Prepping Document: This update was proposed two
meetings ago and comments were solicited.  There have only been three (3)
replies on prepping order.  This update + answers will be compiled and
distributed for further discussion.

5. UC Circ. Head Meeting at UCSC: This meeting occurred on March 25th and
discussed what’s new.  Decision was made to cover 2-4 basic topics each
time they meet.  There were three (3) presentations sessions this time. 1.
Pager System.  2. Reserves (Stack Maintenance).  3.  Training Issues, on
Circ., Cleaning.  Minutes will be available on the UC Circ. Heads website
(URL?), plus this years presentations.  Next meeting will be at UCSB and
the topics will be: Security (difficult patrons); Media; and Reserves.

Other items:

a. UC Merced will open in Sept., 2005.  They will use RFID tags and
Digital Reserves.
b.	UCSD, has recall buzzers for reserves and is canceling overdue fines.
c. UCSC, is sending out courtesy notices 3 days before due dates on
materials.
d. UCSD, UCI, UCSC, are stopping the stamping of due date slips in
materials.
e.	UCLA has a program which identifies items to be moved to SRLF.
f. UCSD & UCR: decision was made that students and staff may only have
“Campus” e-mail addresses.
 
Circ. Advisory Meeting:  Discussion about UCM, opening day they will have
about 50,000 items on the shelf, there will eventually be about 250,000
volumes in the collection.  They will also check out laptops.

6. Circulation Mentors:  There have been none for the last two (2) years.  
Now there are two new people.  A call was made for volunteers to help the
new people, NOT as trainers.  Kim, Peter, Meredith and Madalene
volunteered.

7. Social Security Number and Patron File:  The new minimum Network
security standards have a May 1 deadline to be in place.  There may be
extensions given depending on circumstances.  Information will be sent
out.  Patron name and SS#’s or Driver’s Lics. #’s in association in the
system are NOT good.  These associations will be de-linked in the system
and the numbers will be removed, no decision has been made on “what” to
use instead.  New server will be installed circa May 28th to May 30th.

8. Systems Report:  There are many moves and new location codes that
should be in place in GLADIS, any changes show up in MELVYL approx. one
(1) week later.  NRLF phase three (3) beginning.  The LSO report of
3/4/2005-4/19/2005 was distributed.

Meeting adjourned: 3:30pm.

Next meeting: May meeting will be skipped due to Finals and start of
Summer Sessions.
