CIRCULATION SERVICES GROUP MEETING 
Tuesday, March 15, 2005 (10:30-12:00)

1.	Introductions & Announcements: 

Attendees introduced themselves.

Jonathan Thomas gave a reminder about the upcoming UC Circulation Heads
Annual Meetings which will be held at UC Santa Cruz on Thursday, March 24,
2005.

2.	The Minutes from last month’s meeting were approved as corrected. 

3.	GLADIS Priorities List: 

Madalene Rodriguez passed out the top ten Gladis Priorities for
Circulation Services from the GLADIS Programming Project List addressed
during last month’s meeting. The numbers of the priorities decided upon
were as follows: Complex/Long - 8, 10, 13, 14, 32; Medium – 8, 16, 17, 32;
Quick/Easy – 10.

Lauren Dexter gave the times, dates, and locations of future CSG meetings.
Meetings are to take place on the third Tuesday of every month alternating
between mornings and afternoons. The following is the list given: 
They are: Apr 19, 2:00pm; May 17, 10:00am; June 21, 2:00pm; July 19,
10:00am; Aug 16, 2:00pm; Sep 20, 10:00am; Oct 18, 2:00pm; Nov 15, 10:00am;
and Dec 20, 2:00pm. Unless other wise noted the 10:00am meetings are held
in Rm 250 Moffit and the 2:00pm meetings are held in Rm 303 Doe.

4.	Reserves (J. Thomas)

Jonathan Thomas announced that a meeting would be held with the staff of
the Art History/Classics and Graduate Student Services Libraries to
finalize the proper order of prepping procedures with regard to their
libraries.

Jim Boydstun asked what was involved in the prepping of materials.
Procedures were subsequently discussed in short. Meredith Fleming then
raised the issues about whether it would be possible to clear old preps
from previous semesters out of GLADIS. Penny Bertrang responded that it
would be possible download a list of outdated reserve preps for removal.
She further elaborated upon the procedures for removing past reserves that
have been billed. Madalene later provided the following link via e-mail to
the online instructions for how to remove old preps on the Library Staff
web site in the "Circulation Services User's Manual" under Reserves
"Download reserves lists":

5.	Systems Report (P.Bertrang)

a.	GLADIS Priorities List.

b. New loan periods for the books in the Social Welfare Library. They wish
to give up their semester loan, may be switching to circ. code “A”. The
switchover may happen in the middle of the semester, in the next month or
so. (NOTE: After the meeting it was decided to implement the circ. code
change in the summer, probably July 2005.)

c. Tandem Switchover scheduled for Memorial Day weekend (Sat May 28 - Mon
May 30). All units will be closed that weekend, but the system will be
brought back up as soon as the update is completed. Some minor glitches in
the system may be expected the following Tuesday/Wednesday which we hope
to resolve quickly.

d. The staff in LSO's GLADIS, Unix, and DPG units are all expected to move
to the 2nd floor in Evans Hall. More information on this available at the
“Early Bird” meeting on Thursday 3/17.  (NOTE: This move is currently
scheduled to take place in early to mid-June 2005.)

e. New barcode range for NRLF phase 3.  (NOTE: New ranges were implemented
March 30.)

6.	Concluding Questions/Remarks 

Peter Soriano asked about number 12 in the Complex/Long section of the
GLADIS Priorities List, which did not make it onto the top ten list for
Circulation Services. Peter asked whether or not this should also be on
our list. Penny explained to the group that this priority would make it so
that a “Lost Card Digit” would show up when a patron’s (student, faculty,
or staff) barcode was scanned (currently this information is only
contained within the card’s magnetic strip). Penny further expressed that,
in order to accomplish this, along with the programming needed for the
patron file, either the library would have to start reading the magnetic
strips on ID cards, or have the Cal Photo ID office start adding the
missing digit to the barcodes. In addition, GLADIS would need to be
updated whenever the lost card digit for a patron changed, either via a
real-time connection to the Photo ID computer or at minimum daily updates.
All of these considerations would make this a very long-term project.
Implementing the Lost Card digit will make it possible for GLADIS to block
the use of lost student and employee Photo IDs for auto circ.
transactions.

Norah Foster expressed concern over salary rates of UC library assistants.

Brice Sullivan brought up the topic of GLADIS circulation statistics,
which have not been updated since November. It was decided that the
Co-Chairs should send an email voicing our concern about this to Lynne
Grigsby.

Meredith Fleming raised the issue of number 10 on the GLADIS Priorities
List. She voiced concern about Reserve Prep cards being generated for
preps that have been cancelled the same day. Penny said that she would
check on this.
