1. Announcements & Introductions (all)

P. Soriano, J. Thomas: Cris Guerrero is now working at MAIN three quarter
time (eventually full time). He’s been back since July 1 and is now
assisting Peter at the Circulation Desk. Jonathan: “We’re happy to have
him.”

M. McDonald: Maria Henzi has left the library and relocated to Jackson
Hole, Wyoming. She previously worked on reserves and the circ manual. Any
questions about reserves should now be directed to Marianne.

M. Fleming: One of her student employees checked out hold books for a
friend, using the friend’s ID card. She did this at four units and no one
gave her any trouble. (More discussion on this later.)

2. New Canon Copier (Mike Rancer)

The library’s contract with Xerox, which we’ve had for 6 years, expires on
Aug 31. They were losing a couple hundred thousand dollars a year, with
decreasing copy volume. Xerox, Canon, and a successor to CDT offered bids
for a new contract. Xerox’s offer was to have the Library subsidize them.
Canon won with a proposal where they and the library would break even. The
digital copiers they’re introducing will also be used for printing, which
means some units will just have one machine (no separate printer). Their
pay-for-print system uses a third party software, Equitrac. Usage trials
began July 13, with setups in VLSB and Moffitt. Canon will begin their
transition on Aug. 16 and take over from Xerox on Sept. 1.

In terms of service, Canon is committed to weekdays 7am - 9pm, and Sunday
1 - 9pm. The response time should be 90 minutes or less. For safety and
technical concerns, library staff will be discouraged from opening up the
machines themselves, even for simple tasks such as clearing paper jams and
loading paper. Canon should be responsible for the daily maintenance of
the machines. Since the machines are digital with fewer moving parts,
paper jams should be less frequent.

The standard cost will be 15 cents a copy, with a discount to students,
faculty and staff their cost will be 10 cents a copy. As before, the
discounted price will only be available when purchasing cards from Copy
Services and not from card dispensers. The cost of the card itself will be
75 cents. Each unit will have at least one coin operated copier or a card
dispenser, allowing some means for patrons to make copies with money.

3. Minute Approval for April Draft minutes (Madalene)
Minutes were approved and will be posted to the web.

4. New Co-chair (Cris, Madalene & Lauren)

C. Guerrero’s term as co-chair ended in June, even though he’s been gone
for most of this year. Lauren has been a great help as acting co-chair in
his absence. It was proposed that Lauren takes over as official co-chair
and everyone agreed. Congratulations Lauren!

5. Future CSG/Reserves meetings (Cris)

C. Guerrero suggested that during the summer we hold meetings every other
month since there are usually not as many issues to discuss. May and
September can be no-meeting months since they coincide with the end and
beginning of the semester, when student staffing is erratic.

Concerning reserves, M. Rodriguez reports that Giulia Sacco-Trujillo has
received no questions since the cessation of the Reserves Group meetings.
N. Foster asks if course telnet GLADIS reserves listing will ever be
available via Pathfinder. P. Bertrang says it is unlikely, unless it is
given a high priority, since extensive special programming would be
needed. Reserve data is not currently sent to Pathfinder, because reserves
information is "timely" and there is a 2 day delay between the time a
record is changed in GLADIS and the change appears in Pathfinder. An
addition problem: bibliographic records are sent from GLADIS to
Pathfinder. Course and instructor are not part of a MARC bibliographic
record. Also, individual items are put on reserve and Pathfinder does not
contain individual V/C-s, so reserves processing could not be done in
Pathfinder as it currently exists. Current circ information is displayed
in Pathfinder via a 'live' link to GLADIS. To set up a similar way to
search and display reserve materials in GLADIS from within Pathfinder
would require considerable programming. M. McDonald reminds us that the
group was almost finished with the updating Reserves Processing Manual,
and wonders if a sub-committee could be formed to complete it.

6. Systems Report (Penny)
LSO Report Provided by P. Bertrang

3/18/04 - NEWS DISABLED - Changed GLADIS “NEWS DISABLED” screen at
Holliday’s request. She is now the contact for Disabled services at Doe
Reference Center. Will send request to CSG to review these screens for
accuracy.

3/31/04 GSSI -> GREF - Resent all GREF (former GSSI) records to Pathfinder
and Melvyl.  All affected records will load in Pathfinder on 4/2/04.  
Records will load in Melvyl on 4/4/04.

4/1/04 GSSI -> GREF – Installed location change in GLADIS.  GSSI (Gov/Soc
Sci) is now GREF (Govt Refe).  Also changed default circode for ANTH for
restricted NRLF materials to “L” (non circulating.)

4/2/04 CIRCODE changes for NRLF materials – Started running a job to
change GLADIS circodes (and in some cases NRLF circ status) for NRLF items
owned by ANTH, IGSL, ITSL, CCSL, WRCA, and GAIN (in certain circumstances.)

5/17/04 NASL -> NAS – Location code for NASL changed to NAS and installe
in GLADIS.

5/20/04 NASL -> NAS - Changes made to GLADIS due to clustering of NAS with
ETHN to allow ETHN logon to do all autocirc functions for NAS.

5/23/04 ETHN autocirc support - At Lily’s request changed notice programto
have ETHN, AASL, CHIC, and NAS postcard overdue, recall, and pickup
notices sent centrally.

Melvyl has restricted record loading to nothing above normal volume for 3
months starting July. This is due the loading of UCLA’s records into
Melvyl. During this time, batch projects loading or updating large record
sets in GLADIS will not be sent to Melvyl.  Record loading into GLADIS and
Pathfinder will remain normal.

J. Boydstun inquired about the possibility of a commercial integrated
library system (ILS) in the near future.  P. Bertrang says that a new
system, for example ExLibris, would cost ~$3 million. Currently UCB
doesn’t have money in the budget to fund a commercial ILS.  There would
also be considerable staff time (for both systems and public and tech
services staff) required to move to a new system which would need to be
factored into the decision to move to a commercial system.  Likely many
library staff will be involved in the evaluation and selection of a new
ILS in the future when funding becomes available.

7. SIP (Severance Incentive Program) and it's impact (all)

B. Williams: 2 people from EAL has applied, including one librarian.

L. Dexter: 1 person from EART has applied.  

Around 25 applicants will be accepted for SIP. If accepted, they will have
to wait one year before taking on a staff position with the Library again,
for example as part-time help. On a related note, START will be ending
June 2005.

8. Further discussion on ID’s (see 1. Announcements: M. Fleming)

Units should remind their staff to be more careful to make sure ID’s
match the patrons using them. B. Williams mentioned that faculty often lend
their ID’s to others, and this should be discouraged. M. Fleming says she
advises her staff to check addresses for patrons with paper ID’s with no
picture.
