Circulation Services Group Meeting - Minutes

Present: Penny Bertrang, Jim Boydstun, Meredith Fleming, Cris Guerrero (Co-Chair),

1. Introductions and Announcements P. Bertrang announced there will be an operating system 
upgrade to the tandem, which runs GLADIS, from Dec 26th – 31st.  The upgrade will affect 
a patron’s ability to access certain functions in Pathfinder, the Proxy Server, NRLF 
request, and CDL.  Announcements will be posted on the GLADIS news screens, and the 
Library website.  Libraries that are open during this time should check out material 
manually.  (The upgrade went smoothly, and GLADIS was only down Dec 26th –27th.) 
J. Wiemhoff announced that the 2nd round of bids for Phase 3 construction went to UCOP.  
The expected occupancy date remains March 2005.  J. Wiemhoff also announced 
that NRLF has implemented a new ILL system called VDX management systems.

2. Minute approval (October meeting)
The minutes from the last meeting will be approved soon.

3. Systems Report
Volume specific search display – fixed display program in GOPAC so NRLF limited circ 
and restricted materials display similarly to the detail display. The pickup period 
for MATH was changed from 10 days to 7 days.  GSSI display handling – GSSI records 
treated similarly to DREF records for short and volume specific displays, and circ 
availability on Pathfinder.

4. Book limits
M. Mcdonald and P. Bertrang suggested the group urge PSC to consider limits on the 
number of books patrons are able to check out.  M. McDonald shared information on 
the policies of other UC campuses.  P. Bertrang presented statistics on how many 
patrons within each loan privilege had over 100, 200, 300, 400, 500, 600 and 1000 
books checked out.  The group discussed the numerous problems that could arise from 
patrons having so many books checked out, and whether or not we should pursue changing 
our policy for a handful or patrons.  The group agreed to further discuss the matter 
during a later meeting.

5. “last search” & “final bill cleanup” reports/notices
P. Bertrang reminded the group that reports from the "last search" program are provided to 
individual units via the web.  Units can send a request to Charis Takaro to have future 
reports printed on postcards.  A new program will be developed in future to provide a similar 
report of items that have completed the bill cleanup cycle without being resolved.

6. Meeting room update
The group agreed to cancel the December 16th CSG meeting.
