Circulation Services Group Meeting – Minutes
Tuesday, September 16, 2003 10:30am-noon

Present: Madalene Rodriguez (Co-Chair), Cris Guerrero (Co-Chair),
Zachariah Veley, Jutta Wiemhoff, Brian Light, Lauren Dexter, Emilie

1. Introduction

2. Announcements

Jutta Wiemhoff updates on NRLF construction. The Phase III has gone out to
bid; bids are due September 26.  If all goes well groundbreaking could be
as early as October.

Jonathan Thomas passed out a draft of “Guidelines for Referring Patrons to
the Cashier’s Office.” He wants comments and feedback.

Cris Guerrero wanted to talk about ILL and reserves. He would save it for
the end of the meeting if there were time.

Norah Foster will be going on disability and will be back in November. Jan
Carter and her student will be taking on her duties in her absence.

3. Minutes

Peter Soriano had questions about Marianne’s suggestion in the last
meeting “that it is useful to make a circ note when checking items out to
patrons who are obviously checking them out for a friend.” He thought that
was too involved and it was the patrons responsibility to get the
materials back regardless of who they checked it out for. Marianne thought
it was useful for smaller units. Discussion ensued about the usefulness of
circ notes. It was determined that to some circ notes will be useful and
they will use them and to others it is a hassle and they won’t use them.
To each his or own.

Lauren Dexter, the August 19th minute taker, wanted to take another week
with the August meeting minutes and hoped that was ok.

4. Systems Report (Penny Bertrang)
Penny Bertrang was not present to report.

5. Stolen Book Policy (Lea Mascorro)

To update the Stolen Book Policy Lea Mascorro pulled what was currently in
the public services manual and added a few things about police reports.
She handed out a draft copy. There was discussion about the phrase “… it
is not automatic grounds for cancellation of the bill.” Some thought this
phrase would be seen as an invitation to try to get bills cancelled. It
was decided to remove the word “automatic.” The revised edition of
“Overdue, damages, or lost material for all borrowers except 03 Borrowers”
as well as the 03 Borrowers policies will be forwarded to Isabel Stirling
and taken to PSC. It will also be added to the Circ Services Manual.

6. Reserves (Jonathan Thomas, Giulia Sacco-Trujillo)

Jonathan Thomas reported that during the next six months Charlotte Rubens
will be spending half time working with the Moffitt Reserves unit. She
will be doing a hands on examination of reserves processes and procedures.
Charlotte will be examining print reserves with an eye toward how they may
work in conjunction with electronic reserves in the future.

Giulia Sacco-Trujillo suggested the possibility of incorporating
discussion of Reserves issues into the CircServ meetings. These
discussions/information sessions could be scheduled for portions of every
other CircServ meeting if people showed enough interest and topics for
discussion were available from reserves staff in units processing
reserves. Incorporating this in the CircServ meetings would take the place
of meetings previously held by BRES (Berkeley Reserves) Discussion Group.
The reflector for this group was recently updated to reflect new staff
that are currently processing reserves in their units. ERes the electronic
course reserves service was also discussed since it was recently upgraded
to a newer version. The fax number is the same, but the URL is now
eres.berkeley.edu. Any questions about the new version may be directed to
the ERes manager at: reserves@sunsite.berkeley.edu. There is a strong
possibility that ERes will be upgraded again in the spring and if enough
circulation/reserves staff are interested G. Sacco-Trujillo will arrange
for demonstrations of the new version.

Jonathan Thomas distributed a draft of procedures campus libraries will
use to request material from either of the two Regional Library
Facilities, but not owned by UCB, for use in UCB course reserve. The final
version of this procedure will be incorporated into the circulation
services manual.

7. ILL and Reserves (Cris Guerrero) 

Cris Guerrero wanted to know if people try to keep up with books that are
sent to ILL or Cons.  There was a long discussion about ILL and reserves.
