Circulation Services Group Meeting
February 18, 2003

1. Announcements / Introductions

C. Guerrero announced his intention as CSG chairperson to hold regular
meetings to provide a forum of discussion for group members.  Members of
the group are encouraged to bring forward items for discussion.

B. Williams announced that the GIS database at the East Asian Library is
operational.  It was suggested that a users group be coordinated with
other units using GIS.  Those interested may contact B. Williams.

J. Thomas informally surveyed whether paging lists or prep cards are
preferred for pulling items requested for reserve at other units.  P.
Bertrang gave instructions for generating paging lists and noted that the
instructions can be found in the online circulation manual under the
heading "reserves."  J. Thomas will send out descriptions of both methods
and survey the group.

J. Piacentine encouraged members to pursue funding for staff development
activities through SDC.  Group members were also asked to encourage staff
whom they supervise to make use of SDC funds.  Questions regarding SDC can
be directed to J. Piacentine, who currently serves on the committee.

J. Thomas, P. Soriano, and J. Ford discussed manual blocking of faculty
borrowing privileges for non-returned recalled items.  To block, borrower
information may be sent to the Privileges Desk email address,
svcdesk@library.berkeley.edu.  J. Ford stressed that the Privileges Desk
be notified as soon as overdue recalled items are returned.  

P. Soriano will notify CSG members when the Privileges Desk email has been
changed to privdesk@library.berkeley.edu.  (This email account was created
after the meeting, and all current email being sent to the old address of
svcdesk@library.berkeley.edu is currently being forwarded to the new email
address)


2. Minutes from the last meeting

The minutes were approved with minor corrections.

3. LSO Report

P. Bertrang reported that new and updated patron records, including
self-updates to email addresses and email preference from
http://www.lib.berkeley.edu/AboutLibrary/enotification.html, are now being
sent to Stanford on a daily basis.

M. McDonald asked CSG for the list of four-letter GLADIS location codes.
Codes can be found in Pathfinder by using the "search by location"
command.  P. Bertrang will add the list to the circ manual.  

4. Library Use Only

J. Boydstun has proposed placing damaged low circulating items in
clamshell boxes. The preservation department would return the damaged
material to the owning unit in a clamshell box with a yellow flag and a
sticker for the inside of the box.  The yellow flag would instruct the
unit to change the barcode to non-circulating, and the sticker would warn
patrons that the item is fragile, and may not be checked out and should
not be photocopied.  

The group agreed that unless a unit has special needs, these items should
be changed to K for NRLF items, and L for items housed on campus.

5. Universal Discharging or "Global Returns"

M. McDonald read a proposal from 1998 suggesting the library move towards
universal discharging.  M. McDonald suggested that CSG re-open the issue
to eliminate some problems arising when books are returned to units other
than the owning unit.  C. Guerrero noted the success of the NRLF tracking
system and asked units to keep record of the number of books returned to
their unit in error and the number of problems arising.  The item was
tabled until the next meeting. 

6. Circ Heads Meeting

P. Soriano presented the discussion topics for the meeting including:
global return, Stanford patron files, Stanford request through Pathfinder,
the new Music Library, relocation of Astronomy materials to the Physics
Library, and relocation of the Physics Library to the Doe Core.  Other
discussion topic suggestions may be emailed to P. Soriano, J. Thomas, or
C. Guerrero.  

J. Thomas asked that anyone interested in attending the UC-Circhead
meeting send him an email.  The meeting will take place on Thursday, March
27th, the last day of Spring Break.  

The meeting was adjourned.
