MINUTES
1. Announcements

J. Wiemhoff announced that 1) The development of the Web Delivery via NRLF Request on
Pathfinder is making progress. NRLF is testing the new request, confirmation, and e-mail
notices pages. 2) NRLF has installed new interlibrary loan software as part of CDL's
Consortial Borrowing System (CBS). This system will replace OCLC as UC's ILL management
system. 3) Nga Ong will be leaving NRLF to become Circ supervisor at Music Library. C. Beck
asked for a physical description of a problem patron.  Jon Thomas will email a description.  
Staff are advised to call UCPD if he is seen in the stacks within the next seven days. A
question was asked if there was a policy change regarding transferring inventories from
student cards to staff cards.  M. Kincaid reminded the group that the TRANS command only
works from a staff library card to a staff photo ID card.  If the command does not work, the
patron can be referred to the Privileges Desk.  B. Light gave an update of the Mentoring
Project.  It is now slated for Public Service Council review and feedback.  Brian will soon
send an email asking for mentoring volunteers. M. Fleming stated that ENVI was not present
at this meeting because they were moving and should be reopened by the end of the month.  
There is no longer an ENVI drop box in Doe/Moffitt. J. Thomas announced 1) that Mike Rancer
would use rollover money to hire a campus security officer (CSO) to roam BIOS and
Doe/Moffitt in the evenings and 2) the Privileges Desk is now scheduling staff to answer
642-3403 from 9-12pm, and 2-4pm.

2. Headphones on public PC's (J. Thomas)

Jon Thomas announced that the Main and Moffitt Circulation desks are working on the details
for checking out headphones to students, staff and faculty for use at the public
workstations in Doe/Moffitt.  He also stated that following discussion by the Doe/Moffitt
Advisory Group, they would not check out headphones to Reference card holders and patrons
who do not have a record in the patron file.  He asked for current practice among other
units.  OPTO checked out headphones for any request, Morrison checked out for any request.  
Jon said that staff at the two reference points will provide earphones to reference
cardholders and those without a record in the patron database.  Peter said the details had
not been hammered out yet, as there were several unanswered questions regarding fines and
charges.  It was suggested that Music Library be contacted, as they have long since had a
system in place.

3. Minutes of last meetings
The minutes from the last two meetings were approved with minor corrections.  
 

4. LSO Report (P. Bertrang)

Penny reported that the Melvyl snapshot of almost 5 million records had been downloaded to
CDL, taking nearly a month. The default circ codes for non-book, non-serial materials (with
Limited Circ status) sent to NRLF by the Physics Library has been changed to I=1 day.  This
will be primarily for their video collection. A programming change is being made to add a
non-circulating note to the GLADIS SHORT, CIRC, and DETAIL displays for all MREF and DREF
materials.  The program used to send records to Pathfinder has also been changed to add the
note.  [Note that all DREF and MREF records, with the new note, have been re-sent to
Pathfinder.] Old and unnecessary help screens have been deleted and new and updated screens
are being added.  All libraries were asked for assistance in identifying problems or needed
additions to their individual help screens (even though many patrons now use Pathfinder).  
It was noted that help screens for inv and ren could be revised.

5. Stanford Patrons (P. Bertrang)

Penny continued the previous meeting's discussion of Stanford Patrons being loaded into
GLADIS.  Penny reported that many Stanford records we received for testing were missing
addresses, but Stanford staff members are working to correct the records before they are
loaded into GLADIS.  Stanford uses several kinds of library IDs [Note that Jonathan will
bring color copies as samples of all the Stanford IDs to the next meeting.] Just as
'L9xxxxxxxx' patron IDs are generated for NRLF only patrons, 'L8xxxxxxxx' patron ID's will
be created for Stanford patrons.  (These system-generated patron ID's do not correspond to a
physical barcode.)  It was suggested that when a Stanford patron uses these ID's to charge
out material, their name should be looked up and the library staff member should compare the
barcode number on their Stanford library card with the number in their record. The records
for Stanford patrons will be loaded 5 days a week and will all be loaded with their email
preference set to "yes".  Many of the records will not include addresses, so address updates
should be sent to the Privileges Desk, or updated by the unit, as per normal.


6. Billing Holiday (P. Soriano)

Peter suggested that the 'Billing Holidays' were no longer needed, since most libraries,
including Main, no longer have problems with a backlog of books needing to be discharged at
the end of each semester.  All were reminded that during the dates Dec. 11-Jan. 20 & May
15-June 15, only 'bill-command' bills will actually produce a bill.  The group began to
discuss the possible need of a billing holiday by libraries using Semester Loans.  As time
ran out, it was decided that this subject be revisited at the next CSG meeting and that
those branches with semester loans be present to discuss the ramifications.
