MINUTES from Circulation Services Group Meeting September 19, 2000

Action Items:

ˇ Bruce/EAST will send out technical information about access to the
Chinese journal database.

ˇ Penny/SYS will suggest to Gail Ford to mount reserve statistics on the
web.

ˇ Jutta/NRLF will send out CSG meeting schedule for the next six meetings.

1.	Introductions New Members:
Circulation group members introduced themselves for the benefit of new members.

2. Announcements:

ˇ Jutta proposed to revise the way the minute taker for meetings will be
determined.  The group agreed that it's preferable to select the recorder
before each meeting.

ˇ Bruce/EAST - The Pinyin Chinese Romanization project is currently
underway nationally.  RLIN and OCLC are in the process of converting
authority and bibliographic records for Library of Congress. Effective
October 1, 2000 all new cataloging on the utilities must use Pinyin
romanization.  OCLC expects to finish converting existing OCLC records by
May 30, 2001.  At the time that OCLC's conversion is complete, UCB will
send a file of our Chinese language bibliographic records to OCLC for
conversion.  Because of the depth of this project and the fact it will not
affect everyone, it was suggested that EAST provide some form of
orientation or way to explain conversion for those who have need for this
information once the system is in place.  CSG may revisit this topic in
the April or May meeting.

ˇ Bruce also announced that November 1, EAST begins smart Barcode project
to support autocirc

ˇ Bruce also reported about a new Chinese Journal database.

ˇ Penny/SYS - Charis Takaro is due back from maternity leave on October 2.  
She will be working three quarter time.  Leslie will continue to handle
Auto Circ (GLADIS) Authorizations.

ˇ Jutta/NRLF - CDL Request service testing is completed. Starting
September 21, undergraduates can request 5 articles/day from the
CDL-hosted databases and 5 books/day from the Melvyl catalog.

ˇ Meredith/MOFF - Five new classrooms have been added in Moffitt Library.  
Four are in Moffitt corners, 450a & 450B and 354 & 351B and outside next
to the Free Speech Movement Café.

ˇ Jutta/NRLF - She was unable to find another location or a suitable day
for CSG to meet.  We will continue to meet every 3rd Tuesday of each month
in 251 Moffitt.

3.	LSO update

ˇ Morrison became a fining unit on May 10, 2000.

ˇ Automation of reserve statistics - Changed programs to e-mail reserve
statistics automatically at beginning of each month.  It was suggested to
have Gail Ford mount reserve statistics on the web.

ˇ System office made changes to allow call number searching in Pathfinder
indexes with support from the Tandem side.  After testing phase 5/00-6/00,
call number searching has been officially implemented in Pathfinder. Loan
periods, which are uniform across all borrower types, were added to
Pathfinder and are displayed in the circulation availability screen.

ˇ Stanford/Berkeley Co-operative Borrowing - Berkeley patron records have
been loaded into Stanford's circulation system.  (Stanford patron records
will be loaded into Berkeley's circ system in future.)  Eligible UCB
graduate students, academic staff, and faculty can search Stanford's
catalog through Pathfinder and make requests automatically/electronically.  
(This feature is currently available in the experimental version of
Pathfinder.)  Special cards are no longer needed.  When Stanford records
are loaded into GLADIS, Circulation staff will be able to do name searches
to call up Stanford patron records.

4.	Public Service Council Update

Peter Soriano (liaison to PSC) gave a brief report on the Pathfinder
Enhancement Prioritization process. [NOTE: Subsequent to this CSG meeting,
PSC members decided on the following top priority projects for Pathfinder:

I. Re-indexing and new index requests-Included are:
a. Adding a simple author index.
b. Adding a simple title index.
c. Adding a relators index (allowing for searches of conductors or 
performers, e.g.).
d.  Adding a new keyword index that combines title and subject indexes.
e. Examining treatment of hyphens, which Pathfinder requires (but Gladis 
and Melvyl do not).

II. Adding item-level information
Information (such as NRLF barcodes; and non-circulating, 2-hour, same-day,
or 1 or 7 day materials) from the detail screen in Gladis would now be
available in Pathfinder.

III. Page NRLF
A button would be added to Pathfinder to page an item directly from NRLF.]

5. Pros and Cons of PC's at Circulation Desks

Cris Guerrero pooled CSG members' opinions regarding the PC environment at
the Circulation Desk.  Discussion followed with pros and cons, ideas and
suggestions to help Cris make a decision whether or not to use PC's at
ENGI's circulation desk.

6. E-Mail Notification

Lorelie Mansur from System gave an overview of the E-Mail Notification
Task Force.  She encourages all library staff and student employees to
participate in the initial testing phase by signing up to receive e-mail
notification. Here is how: Go to http://sunsite2.berkeley.edu/patronupdate
and follow the instructions on the web form.  Be sure to complete the form
and, for security reasons, ALWAYS close the browser! One's library card
number and the last four digits of the SSN# or PIN# are needed to access
the form.  Lorelie mentioned that all students, academic staff, and
faculty members have SSN# in their patron records.  However, non-academic
staff and 04 borrowers may not.  By November 1, LSO will start loading
non-academic staff records into GLADIS and SSN#s will be added to all new
records.  If staff try to use the web form and get an error message, they
can add their SSN# or PIN# at Service Desk.  Each unit will have an e-mail
address to receive bounced e-mail notices.  CSG members had questions
about how this new feature will be publicized.

Lorelie and the task force invite everyone to send comments and
suggestions on the proposed draft texts of the notifications to
notice@library.berkeley.edu.
