MINUTES from Circulation Services Group Meeting November 21, 2000

Present:

· Old Action Item: Bruce/East mentioned that East was not able to set up
the Chinese journal database, but he announced that the East Asian Library
would purchase a database for Humanities and Social Sciences and he
invites other libraries to use the facilities at East Asian Library.

1. Announcements -

· Peter said that the e-mail notification test date has been postponed
until after Thanksgiving. He asks that everyone who has not signed up for
these services do so as soon as possible. Peter also mentioned that PSC
began discussion of a policy on cell phones and beepers in the libraries.
It was decided that, for now, if a particular unit has a problem with cell
phones or pagers, that unit should create a sign regarding their
libraries' rule on the use of cell phones and beepers.

· Jutta announced that NRLF will begin an extra truck run on weekends to
Doe Circulation. This service is scheduled to start in January, when
material requested on Friday will be delivered on Saturday.

· Jutta also said that NRLF will start web delivery of articles sometime
in January. Articles will be mounted on the web and its URL e-mailed to
the patrons. NRLF is currently testing this service in a pilot project
with Chemistry library patrons to work out the problems. As soon as all
details are worked out, NRLF will offer this service to other interested
units.

· Jutta also mentioned that NRLF's Access Services has still two open LA
II positions. NRLF tries their best to avoid problems in service.

· Isabel mentioned that the fall finals and intersession library hours
sheet will not reflect the additional note " The building closes 15
minutes after the circulation desks close," as was suggested in the last
CSG meeting. She said this extra line causes a layout problem needing more
work, but they are aiming to have a design in place by the Spring
semester.

2. Minutes from last Circulation Services Group meeting were approved.

3. Excellence in Public Service Task Force -

Elizabeth Byrne brought the group up to date on the work of the Excellence
in Public Services task force: Service Goals that had been drafted
sometime in 1990 by the circulation supervisors group were revisited by
unit heads in Roundtable and circ staff in CSG to assess which goals are
still relevant. Many drafts later, the revised goals document includes all
comments made by unit heads and circulation staff. CSG members are now
asked to comment on the document as a whole, as well as provide data that
represent realistic goals for discharging, reshelving and % accuracy in
reshelving. Elizabeth led a discussion with input from all units. She told
circ staff that after incorporating new comments and suggestions from this
meeting, the document would again be taken to PSC and Roundtable for
review and approval.

4. CSG E-Mail Roster -

Peter handed out a roster containing names, phone numbers, e-mail
addresses, and unit addresses of all members on the Circulation Services
Group e-mail reflector. It was suggested to add a column that lists the
4-letter shelving unit as a quick reference.

5. Reference Card Usage -

Jutta led a "round robin" discussion about how each circulation service
point experiences reference card use (0 (zero) borrower with library use
only privileges). Although very few units have charged material on an
occasional basis (same day loan), most units do not allow check-outs.
Exceptions are course reserves material. As Main is the only unit lacking
a proper reading room, they regularly charge material out to reference
users. Reference card users are not an issue for those units whose
collection is purely non-circulating, like AH-C and GRDS. Everyone agreed
that overnight charges are not allowed at their unit, although an item may
have gone out until the next day by mistake. The group found it very
helpful to hear how other units deal with this issue and it was decided to
continue the discussion at the next meeting.
