MINUTES Circulation Services Group Meeting October 17, 2000

· Action Items:  Peter/MAIN volunteered to make a new CSG roster with
names and duties similar to the Reserves Roster.

· Old Action Items: Bruce/EAST will send out technical information about
access to the Chinese journal database.

1. Minutes from last meeting were approved.

2. No new announcements.

3. Library Systems Office Report  Penny 

A. PINYIN 9/25/00 - New versions of many programs in place to support the
conversion of Chinese records from Wade/Giles to Pinyin transliteration
beginning Oct.1st.  Changes were made in 5 general areas, including
blocking converted records received during the interim period (Oct.
1,2000-April/May, 2001?) from being sent to RLIN & MELVYL because they
have headings that got flipped back to Wade/Giles.  Interim converted
records to be sent to Pathfinder to keep Pathfinder in sync with Gladis.
Please refer to EAL for help on these records.

B. POWER loss - Reminder to use manual charges while system is down.
Recharge materials into Gladis when system is up again. A discussion with
Isabel ensued regarding how to alert people during system downtime and
what procedures are currently used.  This topic and the establishment of
emergency procedures will be placed on the next agenda.

C. CIRC STATS in GLADIS V/C-s - Statistic records for borrower type are
only kept for current year.  Changed BRIEF screen in online GLADIS to
access current fiscal year stats instead of 1999-2000 fiscal year stats.

D. Stanford/UCB PIR support - Changes to patron select program to send
special case non-academics to Stanford who have been issued a Coop card.  
Special run of program to select patron records for Stanford to send an
extra set of records this week.  Thanks to Joyce Ford in MAIN, Systems
staff discovered that some changes to patron select program had
inadvertently re-set some N, G & U patron to "F" patrons and sent them to
Stanford. This only happened to records last week.  All records have been
checked and corrected which were entered last week.

4. LIBRARY HOURS Sheets - Peter

The group discussed the difficulties in closing circulation desks on time
at the end of the day. Patrons are not aware of the note at the top of the
library hours leaflet that states that circulation services close 15
minutes prior to the closing of the library unit. Many units reported on
the various ways they would coax late patrons into leaving, charging out
materials despite announcements that circulation desks are closed.
Circulation Services Group members proposed that circulation desk hours
should be listed for every unit on the library hours handouts and web
pages. One suggestion was to add a note at the top that says " The
building closes 15 minutes after the circulation desks close." The group
will work with Isabel on a draft of a larger size 8 1/2 X 14 size paper.
Isabel suggested running this by other groups before it is implemented.

5.  Photo ID's: Timeline, Phase 1 & 2 - Isabel

Isabel clarified a confusion that exists about the new faculty/staff photo
I.D's. She explained that the library's implementation of the new photo
ID's will take place in two phases:

Phase 1: 

As of November 1, 2000, brand new faculty and staff who have never had a
patron record in GLADIS will be able to use their new photo id's as their
library card. They will not need to apply for a gray Stanford Cooperative
Borrowing Privileges card. However, faculty and academic staff who already
have gray Stanford Cooperative cards should continue to use them until
Phase 2.  Staff whose old cards expire on October 31, DO NOT need to go to
the Service Desk in order to renew them, as their existing cards will be
programmatically renewed in GLADIS. Library staff should be alerted that
these patrons will not have a current expiration sticker on their library
cards. If a faculty or staff person has both an existing library card and
a new photo id and attempts to use the photo id, his/her record will
appear expired. In this case, the patron has two records in GLADIS -- one
for the original card, which should be active, and a second one, which is
not yet active. čLibrary staff should look up the patron by name and
choose the active record, advising the patron to continue to use their old
card for the time being.

Phase 2:

By mid to late Spring 2001, faculty and staff who have the old style of
library card will be allowed to activate their new photo ID card and
automatically transfer all books checked out on the old card to their new
card. Patrons who wish to continue to use their old card are not required
to activate the new photo id.

$10.00 will be charged to replace a lost photo ID

6. E-MAIL Notification Update - Lorelie

Lorelie Mansur led a discussion, which explained the new library E-mail
notification system.  Please encourage student employees and staff to go
to the UPDATE page http://sunsite2.berkeley.edu/patronupdate to add their
current email address. Taskforce members want to see use with other
servers: violet, socrates, etc.  Please use the comment button as well!  
The email taskforce is currently working on an information sheet to be
added to this page. All units will have a "generic" Eudora email account
to handle patrons' replies to their overdue, hold, and recall notices. The
name of the email accounts will just have "circ" added to the unit's
4-letter name, i.e. "maincirc."  For security reasons, access to the
account will be allowed only through Eudora, not PINE.

7. Time had run out so we tabled items 7, 8, and11 for the next CSG meeting.
