Circulation Services Group Minutes, August 15, 1995

1. Announcements

   * There will be no mail service on August 16.  S. Williams will leave 
   notices on the shelf in the Periodical Room. Notices not picked up will 
   go into the next regular mail.

   * R. Love will be the new Chair, starting with the next meeting.  The 
   group thanked Sheila for her work as the Chair.

2. Systems Report - P. Bertrang

   * A batch job was run to transfer SSEAL's records to Main.

   * New circulation code defaults have been set up for Anth and Opto.

   * ILL s for Stanford undergrads will get the same loan periods as UC 
   ILL patrons.  Changes will go into place with the new Tandem 
   installation.

   * PromptCat programming has been put in place.  Problems with the 
   incoming records are being worked out.

   * Semester default has been changed to "Fall 95"

   * The new Tandem will come online by next Monday, August 21.  Report new 
   Tandem problems to the Help Desk.

   * CARS specifications are being refined.

   * CUBS systems is getting ready to send us vendor# s for existing patrons, 
   which we will load into GLADIS.

   * A question was asked about what happens when we hit Jan. 1, 1999. 
   P. Bertrang responsed that programming will have to be done to allow 
   additions of dates past this.

   * P. Bertrang passed out a document which explains the messages on the 
   weekly automated circulation log.

3. Barcode Readers - S. Williams

   * J. Towers will write procedures to tell staff how to maintain barcode 
   readers.  S. Williams encouraged staff to call the Help Desk if they are 
   having barcode reader problems.

   * B. Hurley encouraged units that agreed to count books on the shelf, but 
   not discharged, to follow-up on this survey.  These units included: Engi, 
   Main Stacks, Chem, Bios, Earth and Maps.


4. Knogo and 3M Security Systems - S. Williams

   * Problems with 3M systems should be reported to Mike Brown in BMS.  If 
   Mike cannot fix it, Helen in the Business Office will process a green to 
   call in 3M for the repair.

   * For Knogo gate repair, each unit should call J. Keenan to set up a 
   maintenance call.

5. CARS/Faculty Invoices - L. Mansur

   * Campus Loans and Receivables have made copies of old faculty invoices, 
   pre-Jan. 1, 1995, that they have written off.  The Library is working on 
   procedures to check these invoices for correctness and to follow-up with 
   faculty where appropriate.

   * CARS is still on schedule for Jan. 96.

6. Student Rep. CSG - N. Brailo

   * Adding a student employee to the Circ Services Group was discussed.  
   There was sentiment that having a student representative on some library 
   committees, (e.g. PSSC, PSAG-PS) would be a good idea.   However, it was 
   felt that Circ Services was not appropriate because of the detail of work 
   done by this group.  B. Hurley will discuss this issue with R. Moon.

7. 1-Day Loan/One Renewal Only

   * M. McDonald and J. Catalano have worked out a system to circulate 
   unbound periodicals - 1 day circulation - by adding V/C-s to dummy 
   records.  They will present this procedure at the next Circ Services 
   meeting.  This issue should also be considered as part of the Access 
   Services Strategic Plan discussion on loan periods.  M. McDonald 
   suggested implementation of a circ code to be used primarily for 
   unbound periodicals which would allow one day loan with one renewal 
   only.  This may be formally requested in future.
