A ANNOUNCEMENTS

1.  J Ford announced that as of June 1st, Moffitt will be open to
all categories of borrowers.  Also, as of June 1st, Reference Use
cards will be more limited.  California residents with the proper
identification will get the card for 2 months (instead of the
current year).  Non residents will get the card for 2 days.

2   M Martin announced that the Main library stacks will be
closed on July 1st for the move into the new underground
addition.

3.  L Borromeo had the good news  that the Optometry Library will
be moving back into their old building on April 28-29th.

4.  P Bertrang announced that the Systems Office night operator
would be on vacation the last 3 days in April.  This may result
in delays in producing the notices on April 28 and 29.  


B SYSTEMS OFFICE REPORT

1.   The Morrison library went up on autocirc as of March 29th.

2.   Programming changes were made to accommodate the new Reserve
Title file structure which now sorts the v/c-s on a course title
list by reserve location and volume/copy information.  The file
was rewritten and put into GLADIS.  At that time there were
21,986 items either on reserve or prepped for reserve.  50
barcode/GLADIS number combinations were identified as missing. 
These were all caused by a bug (which has been fixed) which
allowed a user to delete a barcode for an item prepped or on
reserve.  Sometimes the bib record had been deleted, sometimes
the barcode added to another bib record.  A number of different
units were involved.  All were fixed using existing commands.

3.   A change was made in the recall period for Morrison.  Since
coming up on Autocirc, Morrison has a new two week loan period. 
Their recall period on Autocirc is 5 days, but they want to
continue their policy of allowing the original patron to keep a
recalled item for close to the original loan period.  Their
recall period was changed to 10 days.

4.   At Mercedes request, minor changes were made to allow Claims
Returned command for all ILL borrowers.  Other institutional id
borrowers are still blocked from making a claims returned.  This
change will allow ILL to stop maintaining both manual and
Autocirc records for all of its circulation transactions.

This led to a discussion of what to do with notices for ILL.  It
is important to send the notices to ILL and not to the
institution that appears on the address portion of the postcard.

Penny is working on centralized mailing of notices and Sheila
will be sending out information on the options that will be
offered to each unit. This will include the option not to use
centralized mailing.

5.  S Williams will be updating our CircSupe E-mail reflector as
well as setting up one for staff who do Reserves, and those who
are representatives to the Circulation Services Group.

6.  Monthly Circulation Statistics.

    Circulation statistics are counted by logon session for
individual accounts.  Once a month a program generates a report
of the previous month's activity.  Totals are listed by logon
account (logon initials) and day, with a grand total for the
month at the end.

   In general, there are separate reports for each unit. When
staff join or leave your unit, make sure their logons are added
or removed from your monthly statistics.

    A. CHARGES

    1. TOTAL CHARGES-- total number of items charged, of all loan
       periods. Includes both regular charges and charges when a
       q level record is created.  Does not include renewals.
   
    2. Q RECORDS CREATED - number of charges where  a Q level     
        record was a by-product of the charge.  Does NOT include 
       number of charges where a V/C was added to an existing    
       record.

    3. 2 HR Sd CHARGES - number of charges with 2 hour or same   
       day loan period. May be on reserve or not.

    4. 1 DAY CHARGES - number of charges with 1 day loan period.  
       May be reserve or not.

    5. RESERVE CHARGES - number of charges of reserve items.  May
       be any loan period.

    B. DISCHARGES - number of items discharged.

  
    C. RENEWALS - total number of items renewed, of all loan      
       periods.  Includes both reserve and non-reserve.  Also     
       includes items renewed for OTHER library units.

       RESERVE RENEWALS - total number of reserve items renewed.

    D  HOLDS -number of holds placed.

    E. CIRC. SEARCHES - number of items placed on search.


 7.  A discussion of a possible new institutional patron BRPR-    
     Circ was tabled until the next meeting.
