1. SYSTEM OFFICE REPORT:
A. P Bertrang announced that a program to delete X level
records that are not prepped or "res"ed on would be run this
weekend.
B. Minor changes were made to allow the new RC (record
create) command to be available from charge, discharge and
renew screens
C. Systems added a new screen to help users search for maps
that can be accessed by Help Maps. The existing help screen
for MAPS/Map room which was previously accessed by Help Maps
can now be accessed by Help Map Room.
D. Changed the screen user sees when he/she selects a course
with no items prepped or on reserve. Previously the screen
was a copy of the screen a user sees when a heading with no
records attached is selected. The screen now tells the user
that the course selected has not had any items processed as
yet and to keep checking.
Brief circulation information now appears in the reserve
title list if there is a transaction. Also, for prepped
items. "IN PROCESS" has been changed to "NOT READY".
E. P Bertrang requested that all units clean up their
paging lists for Fall 93. All items that remain on last
semesters paging lists should be "Res"-ed on and then "Res"-
ed off.
2. After a discussion of X level records the group recommended
that anyone with Reserve Circulation Privledges, be
able to edit the title of X level records. Currently
logon privledges do not allow you to change the title once
you have created the record. In order to do so you must
delete the record and then recreate it. The group felt this
was inefficient and since X level titles are not indexed the
ability to edit them should be included with Reserve logon
privledges. S Williams will refer this to PSAG-TS.
3. J Ford announced that there would be a delay in the library
joining the University's automated billing system CARS.
As a result "Terry" is back. If units have patrons that you
want Terry to pursue (they must be staff or 04s) send her a
copy of the bill.
J Ford announced that the recommendation for the ability to
update Patron records in each unit had been forwarded to
PSAG-PS and would be discussed in their March 3rd meeting.
She had some suggestions to help her maintain a one day turn
around time in processing address updates.
a. It is important to hand them in person to the person
at the service desk. There will be a labeled box on
the desk for times when this is not possible. Units
should not mail them to the service desk.
b. Make sure that the ID number is written on the form.
This helps when it is difficult to read the
handwriting.
J Ford announced that Proxy forms will be made available in
the branches. She will leave a supply with each unit's
daily postcards.
4. The group discussed the problems with high student turnover.
The group agreed that there has been a deterioration of
public service when the front line staff is in a constant
state of turnover. It takes time for a student employee to
learn the diverse tasks involved in their jobs and they
often quit (for higher paying jobs) just as they can be
relied upon. In some units, they can't even fill positions
because of the low pay rate. This problem has been referred
to PSAG-PS. R Love suggested that all units compile a list
of the students who have quit since the implementation of
the new classification system and the length of time they
remained employed.
