A.  ANNOUNCEMENTS
    
     R Love asked all Circulation Supervisors to make sure that 
due dates are set on GLADIS first thing in the morning, even      
when their units do  not open until later in the day.             
Because of Universal Renewal, items can be renewed in another     
unit before the owning unit is open for service.  This is         
very important during intercession when many units do not         
open until 1:00 pm.   

    M Martin announced that Branch circulation staff can call him
at 2-2623 to see if their cards are ready for pick-up.  The goal
is that they should be available by 9:00 AM everyday except
Monday (when they take longer to produce).


B.  SYSTEM OFFICE REPORT  (This is very long since we have not
met in 2 months)

  1. NEW SLIMMED DOWN "OWNING LOC" SNAG LISTS.  A change was made
to the reserves download handling to bypass records where the
owning loc=reserve loc for Owning loc's snag lists.  This allows
user's to see only those items which they had loaned out to other
libraries, NOT those they had put on reserve in their own unit
(because these already show up in the Reserve loc's snag list.)   

  2. AUTOMATIC X-LEVEL DELETION.  A new version of the RESOFF
command was installed on 12/20/93.  To user's it "looks" the
same, but automatic X-level deletion is included!!!  When a X
level is RES-ED OFF, the V/C in the record are checked.  If none
of them are prepped or on reserve or have a circ transaction, the
X level is deleted by the system.  Please call Penny is there are
any bugs- i.e. if items are not being deleted.
REMEMBER ANY CIRC TRANSACTION WILL PREVENT A RECORD FROM BEING
DELETED.

  3. NEW CIRCCODE DEFAULTS FOR MAIN & MAPS.  Systems made changes
to default circcodes to reflect new default loan period for MAIN
(serials from G to H) and MAPS (books from J to G, serials from J
to H and maps from J to H).  Changes in MAPS are in preparation
for  their future merging with EART.

   Systems then ran a batch job to change serial circ codes for
MAIN and books, serials, and maps circcodes for MAPS to
correspond to changes made in the default circcodes in those
units.

   Interesting stats from this project:

   Number of GLADIS records:  3,627,678
   Number of holding records: 9,061,969
   Number of vol/cop-s:       5,299,835

  4. "FIND CO" NEGATIVE LENGTH BUG.  A version of FIND CO was put
into place that sends a message to the user in the case of the
mystery negative length for the search argument.  Prior to this
change, the auto reserve user only received a message that their
search retrieved no records.  Now they receive a message that
notifies them they have hit a bug "LENBUG OCCURRED" and to call
the Help Desk immediately.

  5. BATCH PROGRAM TO DELETE OLD X-LEVEL RECORDS.  This will take
place in a couple months and an announcement will be made.  Are
there any Units that use X-level for anything other than
reserves?

  6. X- LEVEL CREATION ON GLADIS.  X and Q level creation will go
into Gladis on Thursday, January 13th.  Please seen Auto Reserves
manual pp 30-34 for instructions.  If you have questions, call
Betsy Strange (Humanities) 2-5072 or Rick Love (Sciences) 3-5619. 
If you find a bug or get a file error message, call Help Desk.

  7. RESERVE PAGING AND SNAG LIST CHANGES.  It was recommended by
the group that the ability to limit lists by call number be
implemented.  This will allow larger units such as MAIN and
MOFFITT to download shorter lists.  It was also recommended that
lists be compressed.  For example we only need 1  title entry for
all copies or v/cs of an item to be placed on reserve.  

C.  REPORT on CARS.  This was postponed until our next meeting
due to the absence of Joyce Ford.  

D.  LENDING LEAFLET DRAFTS. M Martin distributed draft copies of
new Lending Leaflets for each category of borrower.  Comments and
changes are to be sent to Joyce Ford.
    
E. EMERITUS FACULTY.  The problems of Emeritus Faculty being
"dropped" every year and having to go over to MAIN to renew their
cards was discussed.  It was recommended that there be a policy
change and that Emeritus faculty not have a closed ending date
each year.  We recommend that PSSC or PSAG-PS look into this
possibility.

It also came up during this discussion that Circulation
Supervisors would like to be able to make changes and or
corrections in the address field of the patron record.  It was
recommended that this be brought up for further discussion with
PSSC and/or PSAG-PS.


F. Next meeting is Tuesday February 15th (10:30-12 Noon) in the
Moffitt Conference Room.
