M I N U T E S

1. Announcements

--Bernie Hurley has been named chair of the Systemwide Operations and
Planning Advisory Group (SOPAG), replacing John Tanno. SOPAG includes
representatives from each of the UC campuses and CDL and serves as the key
advisory group to the systemwide University Librarians.

--On August 31, the Library hosted a celebration luncheon at Alumni House
in recognition of the twenty-four participants in the library's Separation
Incentive Program (SIP) and the eight library employees who retired during
the current year.

--Library staff are urged to attend an Early Bird regarding Library
Priorities and Service Models, on Thursday, September 23, 8:30-10:00, in
the Morrison Library.

--The Library will host the dedication ceremony and reception for the Gala
Opening of the Jean Gray Hargrove Music Library. Library staff are invited
to attend the ribbon-cutting ceremony and tour the new Music Library from
3:15-5:00, on Sunday, September 26.

--The new Data Center at 2195 Hearst (formerly known as SRB-1) opened on
August 25. Bancroft's Mark Twain Project (MTP) and the Library Systems
Office (LSO) will occupy space in 2195 Hearst during the seismic renovation
of the Doe Annex building.

--Patty Iannuzzi reported that the one-time $500,000 budget cut against
collections this year is no longer necessary, due to the savings generated
by SIP.

--A fall Early Bird is in the works and will include information on shared
collections and digital preservation.

--New faculty attending the fall orientation on campus had questions on a
variety of topics, including document delivery options, database resources,
films, e-journals, e-publishing and open access. All were instructed to
contact their library liaisons.

--A newly formed task force has been charged to review and update
procedures for storage at NRLF Phase 3. The final report and
recommendations from the Doe/Moffitt NRLF Procedures Working Group should
be submitted to AUL Iannuzzi by December 1.

2. Collections Project -P.Iannuzzi

While cuts to the collections budget during the 1990's were restored by the
infusion of new money, funds for the processing of library materials were
not restored, creating processing backlogs. Collections Council has
charged a sub-committee to draft procedures for a call for one-time
projects in support of access to collections. The sub-committee's
recommended guidelines for use of one-time funds are due by September 30.

3. Library Budget -T.Leonard, M.Rancer

Mike Rancer distributed the "University Library Operating Forecast
2004-2006", a summary of recurring funds and recurring commitments for
library operations (excluding NRLF). It was noted that the Library has
maintained a balanced budget over the years, in spite of massive budget
cuts. A one-time campus allocation in the amount of $400,000 will be
provided to the Library to mitigate the effects of the $2.4 million
permanent budget reduction. This reserve is available for one-time
projects that require immediate attention to strengthen Library
operations. After a lengthy discussion regarding possible uses of the
reserve, a sub-committee of Cabinet volunteers (E.Byrne, L.Leighton,
P.Zhou) was formed to gather ideas, draft a call, and propose some
guidelines for Cabinet's review and approval. The Cabinet call for
one-time projects should be coordinated with Collections Council's project.

4. Faculty Reception -C.Faulhaber

Charles Faulhaber reminded Cabinet that in years past the Library hosted
receptions welcoming faculty. He suggested that the custom be
revived. The grand re-opening of the Doe North Reading Room in early 2005
presents one opportunity for library liaisons to meet and greet
faculty. Cabinet is considering options for the re-opening festivities.

5. Renaming Library Systems Office (LSO) -B.Hurley

Bernie Hurley presented to Cabinet rationale and options for renaming the
Library Systems Office (LSO). Over time, LSO has moved beyond providing
just technology infrastructure into assistance with the creation of digital
content. The new name should reflect the multi-level services Systems now
provides for the Library, including technology infrastructure, production
and development services. Cabinet will consider options for a new name
that will reflect more accurately these changing roles.
