1. Announcements
Tom Leonard welcomed Elizabeth Byrne to Cabinet as the new Arts &
Humanities Council representative and expressed appreciation to Kathryn
Wayne for extending her term. Kathryn will now join the Library Exhibits
Committee representing the Fine Arts Collection.
Kathryn Wayne reported that the Music collection is being moved from its
old library space in Morrison Hall into the new Jean Gray Hargrove Music
Library building. The Hargrove Music Library is expected to open on
Tuesday, July 6. Cabinet requested that John Roberts conduct a tour of the
new library for the next Cabinet meeting on Thursday, July 8. A gala
opening reception is planned for Sunday, September 26.
Mike Rancer and Susan Wong, representing Library management, have met with
Labor Relations and the representatives of the four unions regarding the
Library's Severance Incentive (SIP) Proposal. The unions have agreed in
principle to the proposal.
Tom Leonard reported that there has been no news concerning the appointment
of the new chancellor. It is likely that no announcement will be made until
the State budget details are known.
2. Business Resumption Planning (M.Rancer)
Mike Rancer will start the Library's process of business resumption
planning, as defined by university policy. Campus has established the UC
Berkeley Office of Business Resumption (OBR) with a coordinator to assist
campus units in developing their own plans to effectively respond to
business disruptions, which might be created by a variety of disasters
(flood, fire, earthquake, power outage, etc.) For more detailed
information see the OBR website at:
http://obr.berkeley.edu/
3. Proposed Policy on Protected Personal Information (B.Hurley)
Bernie Hurley presented to Cabinet the proposed Policy on Protected
Personal Information for the Library. Protected personal information might
be defined as information that could link an individual to a
transaction. The policy is intended to limit the amount of information
collected and kept by Library departments. In conformity with campus
policy and state statute, the Library will collect only information that is
deemed necessary to conduct Library business, adhere to an articulated
disposition schedule, and investigate any suspected breaches of
security. Cabinet approved.
The policy is on the web at:

4. Storage to NRLF until Phase 3 (B.Hurley)
Bernie Hurley presented to Cabinet a chart of averages and proposed
allocations for storage at the Northern Regional Library Facility (NRLF) by
the various UC Berkeley libraries for the next fiscal year. The NRLF Phase
3 planned opening is in 2005, and storage rates must be managed carefully
in the interim because Phase 2 is almost full. In the future, it is likely
that these allocations will used, replacing the annual call for deposit
requests. Cabinet approved. Bernie will communicate the details of the
storage plan with Roundtable members via email.
