M I N U T E S

1. Announcements

The Bancroft Library's holiday party for staff will be on Friday, December
12, 3:30-6:00 in the Heller Reading Room. Cabinet was invited to attend.

The Library's holiday party for all library staff and invited guests will
be on Thursday, December 18, 3:00-5:00, in Doe Library's North Reading
Room. The raffle will begin at 4:15.

The new Music Library's timetable has been extended. No definitive date for
occupancy is available at this time.

2. Library Electronic Information Policy (A.Kautzman, R.Moon, B.Hurley)

The proposed "Library Policy on the Collection, Use, and Disclosure of
Electronic Information", drafted by Amy Kautzman and Ralph Moon, was
presented for Cabinet's review and comment. The Library Policy is intended
to be in alignment with and to complement the UC Electronic Communication
Policy (ECP), which pertains to electronic communications, including
email. The Library Policy pertains to electronic information not covered
by the ECP and specifies the conditions under which personal information
may be accessed and disclosed.

Cabinet commended Amy and Ralph for their work to produce this draft policy
and requested editorial clarifications regarding the concepts of "business
use" and "personal information". Proposed definitions of terms will be
circulated to Cabinet via email for further review and comment.

Amy reported that a privacy audit will be conducted in January 2004 on all
libraries, involving a review of circulation records, server logs,
electronic licenses, and public service audits. The Library will develop a
privacy statement and ensure compliance with applicable privacy law.

3. Proposed item for ARL Member News - Library Stars Program (D.Duer)

The Association of Research Libraries (ARL) website has a new section
highlighting accomplishments at ARL member institutions. Each week a
different institution will be featured. Wendy Hanson drafted an
announcement about the Library Stars Program that recognizes outstanding
performance by library staff at UC Berkeley. David Duer presented the draft
announcement for Cabinet's approval. Susan Wong remarked that details
regarding the Library Stars Program, which has recognized more than 75
library staff since its inception in 2002, have been shared with managers
in departments across campus. Susan will add that information to the
announcement before Tom Leonard forwards our news item to the ARL
Communications Officer for possible publication on their website.

4. Pathfinder Review Committee Report (B.Hurley, I.Stirling )

At the morning's Roundtable meeting the Pathfinder Review Committee
presented its report and summary recommendations. The committee recommended
"keeping Pathfinder as the Berkeley catalog for now, and revisiting the
question in a year to a year and a half, once Melvly has undergone and
stabilized a planned version upgrade." The report appendices contain
constructive information that will be invaluable as future considerations
are given to options for keeping a Berkeley catalog or accepting the union
catalog model. Cabinet commended committee members Aija Kanbergs (chair),
Susan Koskinen (assistant chair), Cristina Campbell, James Eason, Janet
Garey, and Marjorie Irao for their work.

After much discussion, Cabinet decided to accept the committee's report
and, in a couple of months, charge a task force to carefully review the
report's appendices and investigate the pros and cons of operating two
systems versus a union catalog. Bernie Hurley and Isabel Stirling will
prepare a draft proposal to be considered at the Cabinet meeting on
February 26.

5. Planning for future undergraduate education (B.Hurley)

The topic was deferred until a future meeting when Patty Iannuzzi will be
present. It was noted that this discussion is continuing in other groups, also.

The next Cabinet meeting is scheduled for January 8, 2004.
