1. Announcements

Patricia Iannuzzi, who will continue serving as Interim Director of
Collections, has announced that the Library Administrative Group approved
partial reassignments during the next year for Gail Ford and Imani Abalos.
To assist Patty in her duties for both Collections and Doe/Moffitt, Gail
will serve as Project Manager for Collections Management (.50FTE) and Imani
will serve as Special Projects Analyst for Doe/Moffitt (.50FTE).

The Leadership Development Program (LDP) has been approved for its fourth
year on campus. The program is intended for those with current
responsibility for a unit, department, team, or project. Key objectives are
to improve organizational effectiveness and build community. This 10-month
program is expected to begin with orientation in March 2003 and end with
graduation in January 2004. Application deadline is January 24, 2003.

Charles Faulhaber reminded Cabinet of the Bancroft Retreat scheduled for
January 13, at the Berkeley City Club, to discuss the final version of The
Bancroft Library Strategic Plan. Cabinet members were invited to attend.

Dave Duer distributed an interim report on Gifts to the Library indicating
receipts through January 8, 2003.

2. USA PATRIOT Act Committee & Working Groups (Tom Leonard)

The campus is forming a steering committee and two working groups to
coordinate the campus's response to the USA PATRIOT Act. University
Librarian Tom Leonard will be a member of the steering committee,
co-chaired by Executive Vice Chancellor and Provost Paul Gray and Academic
Senate Chair Catherine Koshland. The two working groups will look at
research compliance and disclosure of records. UL Leonard has appointed
Amy Kautzman as the library representative on the records disclosure group.
Working group reports are due April 30 with the steering committee report
on June 1, 2003.

3. Routing of legal papers (Amy Kautzman)

Amy Kautzman is Berkeley's representative for the UC Library Privacy
Liaisons group. The group is looking at balancing library responsibilities
to protect patron privacy and follow the letter of the law. Amy presented
to Cabinet two draft documents relating to the routing of legal papers.
Cabinet approved email distribution of the handout "What to do if I am
approached by the FBI or the Police", which contains basic instructions for
action when presented with a subpoena or warrant. In addition, these
instructions are to be posted at all service points. An Early Bird will be
scheduled in the near future to provide library staff with an overview of
the USA PATRIOT Act and its relevance to libraries.

The UC Privacy Group is also reviewing privacy statements on various
websites. Cabinet recommended posting a privacy statement on the library
web and forming a sub-group on records retention with representation from
Systems/Circulation records, Business Office, Human Resources, Technical
Services, InterLibrary Services, and Public Health.

4. Library Website Principles (Jill Garland, Bernie Hurley)

In October 2002, the Web Advisory Group was formed to advise the Library
Web Services Manager and assist in the development of policies, procedures,
standards, and guidelines for the Library's website. Jill Garland, the
Library Web Services Manager, presented to Cabinet the strategies
considered by the Web Advisory Group to address the degree of uniformity
and standardization for the Library web. The three options include:
non-standard, highly diverse sites; a highly structured, standardized look
for all parts; or a general, user-centered design that will accommodate
customization. Option three was recommended because it would establish the
Library's institutional identity while allowing for individuality on the
sites where content will continue to be maintained independently. Cabinet
approved option three and asked the Web Advisory Group to move forward with
creation of guiding principles and present these guidelines to Cabinet for
approval.

5. Adding an SDC member to Roundtable (Lee Leighton)

A request has come forward from the Staff Development Committee to include
a member from SDC on Roundtable. Cabinet noted that Roundtable was formed
to facilitate communications within the Library and the membership is
comprised of unit heads, or those reporting directly to AULs and directors.
Roundtable membership may change as changes occur in the organizational
structure, such as when units are reorganized. Since Susan Wong, director
of LHRD, and Kay Starkweather are members of Roundtable and ex-officio
members of SDC, they serve as communication links between the two groups.

6. Library program consultant to assist architects (Charles Faulhaber)

The Bancroft Library needs to determine which items will remain on-site and
which will be stored off campus, and the architect has requested a library
consultant to assist immediately in making those decisions. A specialist
with expertise in special collections would be helpful in weighing the pros
and cons of various options. Since the architect, Mark Cavagnero
Associates, will make a full presentation at the Bancroft retreat on
January 13, the decision regarding hiring a program consultant was deferred.
