ANNOUNCEMENT

The architectural firm of Williams and Tsien has submitted conceptual
drawings for the exterior of the new East Asian Library. These conceptual
renderings will be useful for fundraising. Next steps will be to develop
concepts and adjacency requirements for the building interiors to
accommodate EAL programmatic needs.

A G E N D A

1. UCB Representative to the CDL Users Council --I.Stirling

Bette Anton's term as the UCB representative to the CDL Users Council is
ending. Isabel Stirling issued a call to library staff requesting
nominations, including self-nominations, and presented the slate of
nominees at today's meeting. Cabinet selected Ann Jensen to represent UCB
during the next 3-year term.

2. SOPAG Privacy Liaisons --B.Hurley

Bernie Hurley reported that the ULs approved SOPAG's Privacy Task Force
recommendation to appoint an all campus group of Library Privacy
Liaisons. Thus, a systemwide policy group (CDL Privacy Group) will be
established to monitor legal and policy developments related to privacy
issues and "recommend library policies as needed to protect the privacy
rights of patrons and keep staff and patrons informed of these
rights." Isabel Stirling will consult with HOPS regarding a process for
designating campus representatives to this new group.

3. Roundtable Agenda Committee --L.Leighton

On May 29, Tom Leonard issued a call for volunteers to serve on the
Roundtable Agenda Committee. At today's meeting Cabinet selected Wendy
Hanson, Ann Jensen, and Lee Leighton to serve from July 2002 through June
2003. The committee will solicit appropriate agenda topics for Roundtable
and foster upward communication through Roundtable members.

4. Revised Draft Charge to Classification Committee --W.Hanson, L.Leighton

The revised draft of the Charge to the Classification Committee was
presented for Cabinet's review. The committee's purpose is to ensure equity
across personnel classifications and equity in the reclassification
process. The goal is to move toward reviews of jobs in the Library
Assistant series based upon the objective criteria in the Supplemental
Standards for Levels I-V. The newly developed matrix of classification
standards will assist the committee and supervisors in determining
appropriate levels for work performed.

Cabinet recommended editing the committee's charge to include a mix of
functions in the committee membership (e.g., representatives from Public
Services, Technical Services, etc.) and forwarding committee
recommendations and documentation to the Head of Human Resources (rather
than to the University Librarian), who might request additional information
on a case-by-case basis. Wendy Hanson will incorporate these changes, and
the charge will be brought back to Cabinet for final approval.

[Note: The Library Classification Committee will present its preliminary
report and Library Assistant Supplemental Standards 2002 to Cabinet on June
20. This new matrix clearly delineates functions performed at the entry
level, operational level, advanced operational level (specialist), highest
operational level (para-professional), and professional level in the
Library Assistant series.]

5. Planning Next Year's Reclassifications --L.Leighton

At the training session on decentralization of salaries, campus made clear
that no additional monies will be made available to departments for
reclassifications. It is imperative that the Library begin to plan for
next year's reclassifications to ensure that budget allocations are
adequate. Lee Leighton recommended that all AULs/directors present the
number and level of reclasses expected during the new year. It is further
recommended that AULs/directors submit and discuss reclasses in their units
for budgeting purposes as part of the Library's regular budget process.

In order to give AULs/directors more control over the process, Cabinet
discussed linking reclassifications to the annual review process, at which
time job descriptions are aligned to assigned duties and functions actually
performed. In the future, all anticipated changes in job duties will be
taken to Admin/Cabinet for discussion, approval, and incorporation into the
budget process each fiscal year. A "Reclassifications" category will be
added to the Library's budget spreadsheet. Cabinet members will notify
their unit heads that changes in job duties now require higher approval due
to budgetary implications.

Cabinet will take this recommended process to Roundtable on June 27. A
formal document will be prepared and all library staff will be notified.

Fred Yasaki noted two small changes for the spreadsheets: $4,000 for
steelcase workstation should be furniture rather than facilities, and
$8,000 for temporary access ramp should be facilities rather than furniture.
