A G E N D A

1. Visiting Scholar Proposal (I.Stirling)

Isabel Stirling thanked members for their comments on earlier drafts of the
"Visiting Scholar Proposal" that Cabinet reviewed by email. The final
draft endorsed by Cabinet has been sent to Mary Ann Mason, Dean of Graduate
Division, and Sam Castaneda, Visiting Scholar Coordinator, to work on the
details for implementation. The fees to visiting scholars will be
increased, with half going to the Library and half to Graduate Division for
scholar services. Forms will be amended to provide better tracking of
items with sponsoring departments assuming more responsibility for lost
items. It is expected that the new policies, enhanced library services,
and increased fees for visiting scholars will be implemented in Fall
2001. Cabinet approved.

2. Affiliated Libraries in GLADIS (I.Stirling, B.Hurley)

The recommendations of the Task Force on GLADIS and the Affiliated
Libraries (see report March 23, 2001) were endorsed by Public Services
Council and Cabinet and sent to Library Systems Office (LSO) for analysis.
The Library's primary objective for loading affiliated records in GLADIS
would be to create a unified catalog for the campus. The four affiliated
libraries that have considered loading their records in GLADIS are the
Institute of Governmental Studies, Institute of Transportation Studies,
Water Resources Center Archives, and Law. LSO has estimated the project
would take one year at a cost of approximately $75,000.

GLADIS circulation and catalog maintenance are highly customized for our
environment and could continue to run for several years. But, it now
appears that the new MELVYL system may provide enough functionality to
replace GLADIS OPAC and Pathfinder. Given the significant cost and time it
would take to load the Affiliated Library records into GLADIS and the fact
that the new MELVYL system is scheduled to be operational February 2002,
Cabinet decided to postpone loading the affiliated records in GLADIS until
the capabilities of the new MELVYL system are better understood. Isabel
Stirling will talk with the task force members and explain details of the
current situation.

3. Conversion of Archivist Positions to Librarian Positions (C.Faulhaber)

On March 22, Cabinet discussed Charles Faulhaber's proposal to convert
several Bancroft archivist positions to librarian positions and decided
that no further action would be taken before seeking LAUC-B and CAPA's
advice. The LAUC-B Executive Committee has discussed the issue
informally. Since LAUC-B serves in an advisory capacity to the University
Librarian, Tom Leonard will formally request input on this proposal to
bring the Bancroft archivists in line with their peers at the other UC
campuses, including advice on CAPA's possible role. Charles Faulhaber will
prepare a draft letter for the UL.

4. Use of Library Facilities for International Association of Music
Libraries Conference
in August 2002 (J.Roberts)

The International Association of Music Libraries (IAML) will hold their
conference on the UC Berkeley campus August 4-9, 2002. The IAML is
primarily a European organization and this will be their first meeting in
the USA since 1983. Conference sessions will be held at the Clark Kerr
Conference Center with concerts scheduled in Hertz Hall. John Roberts
requested Cabinet's approval to hold the opening reception on the classical
terrace at the north entrance of Doe Library, continuing into the Brown
Gallery and the Morrison Library. It was noted that the event will be
during hours when the library is normally closed and library costs for
security will be nominal. Cabinet approved use of library facilities for
this special event.

5. Campus Call: Facilities & Infrastructure Improvement Program (M.Rancer)

Campus has issued a call for the "2001-02 Berkeley Facilities and
Infrastructure Improvement Program". Since the state-funded Minor Cap
Program was eliminated, The Chancellor is continuing his support to provide
funding for small capital improvements and has allocated $500,000 toward
the new program. Projects will be limited to $250,000 and departments are
encouraged to include matching funds in their proposals.

Cabinet decided to submit a Library proposal for the restoration of the
Great Rooms in Doe (the Subject Catalog Hall and North Reading
Room). Campus funding would augment this restoration project, which is
already a top priority adopted by the Library Advisory Board and to which
the Library has committed $175,000. Mike Rancer will work with Patty
Iannuzzi and Fred Yasaki to develop the proposal package to meet the June
22 deadline.

6. Library Budget FY 2001-02 (M.Rancer)

Unit budget requests being submitted to AUL/Directors are due by May
24. Ty Johnson and Elise Woods will assist in photocopying and
distributing requests for the budget subgroups. At the next Cabinet
meeting on May 31, each AUL/Director will discuss their top two or three
priorities in each of the categories for New Initiatives, Furniture and/or
Facilities, and Equipment (over $1500). In addition, AUL/Directors were
asked to send email to Mike Rancer with the project names and amounts
approved last year that should be carried forward in this year's budget.
