Action Items
• BRII: Chuck will send an email to selectors reminding them about BRII, and including sample language selectors who haven’t already made contact on this topic could use to do so.
• BRII: Council reps were asked to talk at Council about selectors notifying their constituents.
• Beth Weil will learn more about appointments as a “permanent lecturer” to determine whether to extend BRII to people with this job title as well.
• Chuck will invite Lee, Lisa Rowlison, and others (?) to talk with CC about what Berkeley holdings are in OCLC and what are not.
• Emily Stambaugh will be here March 4. We’re looking for a venue that lots of people can attend…or will reschedule.
Meeting Contents
1. Announcements / Updates
• CDL’s Web Archiving Service will be coming online in May. June will mark the beginning of phase 2, to develop public access to archived content. Berkeley will need to name an administrator, once the requirements for this are clearer. Affiliated libraries will be eligible to archive under Berkeley’s umbrella. We will have 1 terrabyte of space. Chuck will organize information sessions when the time comes, including TALAG.
2. BRII
Chuck reminded CC that Tom and Beth Burnside announced BRII to campus Deans and Directors the week of Jan 21 and Peter Suber announced the initiative in his open access newsletter. The Berkeleyan will be doing an article in March, and SPARC will be doing an article as well. The March eGrad Newsletter will also publicize the program. K.Wayne suggested that we also do what we can to get an item in The Chronicle of Higher Education. CC liked the sample language that Chuck drafted and agreed with his plan to send an email to selectors. CC reps agreed to also raise this in their Councils.
Four applications have been approved, and several other inquiries have resulted in further discussions. We will consider “adjunct” faculty to be eligible for BRII. Beth Weil will learn more about appointments as a “permanent lecturer” to determine whether to extend BRII to people with this job title as well.
3. Budget Update / Prepayments
In keeping with the ongoing campus mandate to spend down carryforward balances, the Library is working to prepay some memberships, subscriptions and large purchases.
4. Major purchase round phase 2
Chuck has postponed notifying all selectors about major purchase proposals that were rejected by Collections Council for this year due to funding constraints and postponed for reconsideration until next year. The unfunded proposal amount was roughly $500k. He has been hoping to find alternative funding sources. After some discussion of the possibility of using funds available under the compact to acquire some of these items, CC recommended that we proceed conservatively and await a campus decision about a potential cut to the collections budget before proceeding with any acceleration of further major purchases from this year’s list.
5. Worldcat Collections Analysis Tool
Chuck thanked Gail for arranging the demo of the Collections Analysis Tool. It was a good turnout of about 20 people. Any selector interested may use the information Gail sent to selectors in a series of emails. She welcomes all comments.
Feedback from CC included
• could be useful for identifying items that are unique in our collection, to help us organize what items we should take special efforts to secure
• the current “access by conspectus” approach does not work very well for Sciences nor for Environmental Design.
• this tool might be very helpful for new selectors who are learning their fields
• any use of this tool to try to quantify collections should be avoided – our holdings are not at all well represented in OCLC and so are not well represented in this tool. We’re missing an estimated 84,000 c-level serial records, and other long-term Berkeley cataloging practices also confuse results.
• There was considerable concern not only about holdings for Collections Analysis purposes but also for the OCLC pilot as a replacement for MELVYL – if we go this way, we will need to spend a lot of money in cleaning up Berkeley’s holdings.
The group liked the idea of inviting Lee and Lisa (and others?) to a CC meeting on “Berkeley holdings in/out of OCLC”.
6. Planning for Emily Stambaugh March 4
Emily Stambaugh will be here March 4. CC thought that an early bird like presentation would be the best approach to getting her message to those here who are interested. More to follow…
