Collection Council Meeting Minutes

Agenda:

1. Approval of minutes of 4/18/00.
2. Digital resource requests.
3. Process for handling other large requests from selectors.
4. Billing/replacement work group update.
5. Planning a report on use of Chancellor's Initiative Funds.

**Note: this slightly exceeds the estimated $55k available.
However, cancelling Britannica Online and Books in Print
will more than cover the deficit.

The online Index to Current Urban Documents (with full text) was
expected to cost LESS than the current subscriptions for this resource.
Funds for this were expected to come from cancelling these subscriptions.

Early English Books Online has already been partly paid for.
An additional purchase cost (payable over 2 years) of $57k
for additional content and cataloging can be covered by DILIB
onetime funds. An annual fee of $2.5k also has to be found.

The following titles were deferred until more information
and/or more funds are available:
Ulrich's International Periodicals
American Periodical Series
English Literary Periodical Series
Hoovers Online
Global Market 7
Encyclopedia of Life Sciences

3. During the past two months, Alan has received several requests for high
cost items which he has been batching for the sake of comparison and
experience. He asked for Council's advice on how to handle such requests.
He was advised that, unless there are compelling reasons for an immediate
decision (urgent needs or substantial, short-lived discounts), a formal
call, followed by collective assessment of competing requests would be a
more equitable approach than his unilaterally funding them from the AUL's
discretionary accounts.

4. The Billing/replacement work group (Beth Weil, Gail Ford, Alan Ritch,
Peter Soriano, Lorelie Mansur) has met once to begin its description and
analysis of the process by which missing books are (or are not) replaced.
The goal is to clarify procedures, compare practices, and identify
anomalies, particularly those which may be the result of obsolete notions
about available funding. The group will continue its work and meet again
on May 25.With regard to large requests, Alan will ask selectors for
additional information on funding sources and community benefits.
