COLLECTIONS ADVISORY GROUP

Meeting: Wednesday, September 17, 1997 1:30 - 3:00 pm, 250 Moffitt

Present: P. Bischof (recorder), B. Glendenning, A Urbanic (chair), B. Weil
Absent: M. Burnette, E. Sibley
Ex-officio: K. Frohmberg, B. Kornstein, L. Leighton, J. Spohrer
Guest: W. Whitson

1. Minutes of meeting 8/20/97 were approved.

2. Announcements
a. Frank Carothers has offered to be the expediter of the Moffitt serials
disposition. He proposes to send printouts of backsets with detailed
holdings information to concerned selectors. He will include a form which
will offer selected options, including: add as copy 2 for Main or a branch,
store, or withdraw.
b. J. Spohrer hopes to be able to provide CAG very shortly with information
re AUL funding decisions regarding supplementary allocations.

3. Electronic Resources Reports
The purpose of three reports, from the Social Sciences, HAS, and the Sciences
is to facilitate CAG's recommendations re the VC's special Digital Library
funding.
Ralph Moon, in a meeting with HAS heads predicted a migration away
from the Novell system to the Windows NT environment. The Novell System
uses 80% of its capacity in querying back and forth providing constant
verification of the integrity of its communication, a clear inefficiency.
Systems is exploring the potential distribution of electronic data on a web
interface, which would make this information more widely available on the
campus or via a home IP account. The data in the towers would then be
presented in a single environment.

CAG needs:
a. To be able to make recommendations re local stand-alone equipment
requirements.
b. For systems to create a standard for campus CD access.
c. For software and machines which will allow patrons to take discs and
read the data. B. Weil stated that 90% of present issues could be resolved
by having machines with which users can read this library's CDs, as well as
their own. MRC does have some ability of this sort. Bill Whitson remarked
that GSSI has relevant software mounted on each of two machines. A.Urbanic
mentioned that dictionaries, especially from Eastern Europe, often come
with CDs. Often works published in Germany also come with CDs.
At this time CAG cannot think of an alternative to swapping low-use
disks, and may wish to recommend this. It is our understanding that an
expenditure of $100 to $200 will permit upgrading existing PCs to add
CD-Rom capacity. It is within the scope of Digital Library funding to fund
equipment needs, as well as subscriptions to new electronic journals. CAG
would have no hesitation in recommending at least one new tower, which has
the capacity to accommodate 28 discs. An example of unmet equipment needs
is seen in HAS, which has at least 50 general purpose CDs either on order
or already in the system which cannot be played at this time.

CAG's agenda for the fall includes:
*Merging the Electronic Resources Reports. Interdisciplinary titles for
which CAG can agree to recommend for Digital Library funding include: ISI
titles--(SCI, AHCI, SSCI), Dissertation Abstracts, and some statistical
titles. The science libraries do not require more disc space right now,
while HAS and the Social Sciences will review their needs
*Inviting Ralph Moon to discuss with us technological aspects of electronic
access issues, especially local hardware needs.
*Coordination of Moffitt's Collection Policy.
*Preparation for a Selector's Early Bird in October, when topics will
include: Fund and budget allocation processes (interpretation of Innopac
reports and spreadsheets, as well as presentation of a timeline, and
Digital Library initiatives.
