COLLECTIONS ADVISORY GROUP MINUTES MAY 14, 1997 Present: P. Bischof, M.Burnette, D. Fortner, B.Sibley (recorder), J.Spohrer, B. Weil, A. Urbanic (chair) Guests: D.Farrell, R. Green, B. Hurley, E. Woods, E. Meltzer, M. Untawale 1. The minutes of 4/16/97 and 5/7/97 (the latter with a minor correction) were approved. 2. A. Urbanic will be away May 30 through June 16. J. Spohrer will chair any CAG meetings in the interim. 3. Moffitt Collection Proposal A. Urbanic summarized the discussion from the previous meeting concerning the Moffitt Collection Development Policy that E. Meltzer presented to CAG on May 7th. The policy states that the Moffitt collection will consist of 65-80,000 volumes to be housed on floors 4 and 5 of Moffitt. It will include books that have circulated and/or been on reserve during the last two years plus titles geared towards lower division students that are selected by Main and appropriate branch selectors. Circulation Dept. has already started to red dot items (reserves/circulated vols. of last 2 years) beginninng with the Moffitt volumes (F-L class) on Level D in Main. After the dotting is finished, selectors can begin their review and indicate on book flags the disposition of the book (transfer to Main, Moff, branch, w/d, etc). It is difficult to determine at this time how many books will be transferred to floors 4 and 5 and whether there will be space for all of them. A second review may be necessary. The first floor of Moffitt could be temporarily used to house some books during this transitional period. As for the Moffitt periodicals, current subscriptions will be reviewed by appropriate selectors who will decide about transferring or cancelling titles. There are 425 active serials and all but a few are duplicated. M. Untawale will forward list of the unique titles to CAG. B. Weil noted that there are 4 hi use science titles: New Scientist, Science, Scientific American, and American Scientist where an additional copy besides science branch copies is necessary. E. Meltzer stated that several of these titles may be available full text on MAGS/M or UMI Proquest. She will check. It was recommended that the full text Proquest titles be catalogued in GLADIS/MELVYL. As for the backsets, appropriate Main and branch selectors will make the decision whether to transfer volumes to Main/branch or w/d. J.Spohrer recommended that the amount from cancelled Moff serials be credited to the "m" funds of appropriate Main/branch subject selectors. A committee of selectors will be formed to work out the procedures. The cancellations would probably not be made until the Aug 1 deadline. As for new monograph purchases, it was suggested that Moffitt "a" and "m" funds be split up among Main English language selectors and appropriate branch selectors who would be responsible for ordering Moffitt books in their subject areas. About 2000-2500 volumes a year are expected to be added and for every title added another must be transferred or withdrawn. This weeding would need to be done annually. A suggestion was made that a collection development coordinator might still be needed to oversee the collection and handle problems that developed. Action: E. Meltzer will further revise the Moffitt Collection policy. M. Untawale will establish a timetable for the Moffitt weeding project. Deadlines are needed. AULS should be notified. 4. Serials Cancellation Issues Selectors have started to receive serial cancellation credit forms for serials cancelled this year. If proper credit has not been made selectors need to contact M. Shiells. For problems not resolved by fiscal close of June 6th the credit can be issued for the next year. The Librarian's office will be asked to distribute to all selectors the spreadsheet indicating amount of serial cancellations as well as new serial orders for each fund current as of 4/14/97. The fiscal close will be June 6th and M.Rancer, E.Woods, and M.Shiells will get together and recalculate the cancellation targets. These new figures should be sent first to CAG for review. The draft should be ready by the June 18th CAG meeting.The present policy of basing serials appropriations on year end expenditures will continue though this method needs to be reviewed. 5. Silver Platter Databases There was a brief discussion of the SP/ERL database proposal. CAG recommended that Toxline and General Science Abstracts be dropped from the list. The latter duplicates many of the same science periodicals indexed in MAGS/M. Cumulative Book Index should also be deleted as the print version is quite adequate. Book Review Digest may not need four simultaneous users while EconLit may need more. Comments should be sent to D. Farrell by May 19th. He is also soliciting input on GaleNet databases.
