COLLECTIONS ADVISORY GROUP--DRAFT MINUTES

Meeting: Wednesday, April 2, 1997, 1-3 p.m., 303 Doe

I. Minutes of 3/26/97 were approved pending review by
A. Urbanic.

II. Estimated Budget Anatomy for 1997/98 Planning,
draft dated 4/1/97
    G. Ford presented the estimated budget anatomy and
spreadsheets detailing the amount needed to continue
acquisitions at current levels, intermediate sums for
the estimated collection budget 1997/98, options for
the distribution of the cuts, and the estimated
collection budget for 1997/98.  Ford explained her
methodology in reaching the figures; CAG approved that
methodology.  Questions were raised about some of the
figures used in these drafts; these questions will be
resolved by the end of this week.  The budget anatomy
and the spreadsheet with the estimated 1997/98
collection budget and possibly a sheet of definitions
will be distributed before an early bird to discuss the
figures.  These figures are based on serials
appropriations, not on expenditures, and will be
revised once the actual expenditures for the year are
available.
    
III. Spohrer distributed a draft of a document which
selectors can use to explain the budget cuts for
faculty.  It addresses the reason the cuts are higher
than expected inflation.  He will rewrite and take to
LPG before distributing to selectors.  

IV.  Other concerns:
A. Request for figures for non-19900 monies such as
sale of duplicates, billed replacement funds.
B. Request to mount all titles being considered for
cancellation on one web site so faculty and other
interested parties could look for titles of special
concern.
C. Question about whether selectors had noted double
billing for titles supplied by Faxon.  One selector
theorized that we had paid Faxon, but the money was
perhaps not passed on to the publisher.  [R. Green
later corroborated that some payment duplication is
inevitable in large transfers.  Send information about
such duplicate payments to Green]
D. Request for a written timetable and list of
procedures for serials cancellations.
