CAG meeting April 15, 1998

COLLECTIONS ADVISORY GROUP 
Minutes of meeting, Wednesday April 15, 1998, 1:30-3:00 pm, 250 Moffitt

1. Minutes of the meeting on April 1, 1998 were approved with  minor changes.
 
2. Announcements:  
* Minute takers are instructed to use the web form to
post CAG approved minutes and reminded to send finalized version of
minutes to all users. 
* Memo has been sent out regarding fiscal close and final dates for
ordering.  Last date for orders to be received by the order division is
Friday May 29, 1998; last date for invoices to be received by LBO is
Friday, June 12, 1998.
* Allan would like to receive comments/responses to his memo re replacement
copies.  Phyllis will re-send Allan's memo to CAG members.
Allan has requested (based on CAG discussions) that Janet Hood
discontinue sending "No activity reports" to selectors.
 
3. NRLF Procedures
V.Moon and  S. Milller gave a brief description of NRLF procedures
focusing on issues of interest to selectors, particularly the NRLF
duplication policy.  In brief, NRLF does not duplicate holdings and
places responsibility for checking duplication with the depositing
library.  NRLF does however, check for obvious duplication (e.g. long
serial runs, two copies sent at once) returning  duplicates to the
depositor.
 
A number of questions were raised regarding preservation, last copy policy
and cooperative collecting which prompted the group to recommend that a
sub-group of CAG  work with V. Moon and S. Miller to draft guidelines for
selectors in making storage decisions.
 
A brief discussion ensued about the merge of NRLF records into GLADIS with
comments from some units that this information is helpful and from others
that it seems to be confusing patrons.  B. Kornstein noted that PSAG-PS is
reviewing the NRLF/GLADIS merge and will likely ask for comments in this
area.   There seemed to be agreement that  (1)  on-campus holdings should
display first; and that (2) public GLADIS terminals use a call number
display similar to that which is on GLADIS.
 
It was noted that staff will need to be trained to use the new system.
