COLLECTIONS ADVISORY GROUP Meeting: Wednesday, 11/5/97, 1:30-3pm, Moffitt Conference Room Recorder: B. Glendenning Present: A. Urbanic (chair), B. Sibley, M. Burnette, B. Weil, D. Fortner, P. Bischoff Ex-officio: B. Kornstein, K. Frohmberg Guests: P. Maughan, O. Heyer, L. Weber, T. Dilworth, T. McCarthy 1. Minutes of Oct. 3 meeting - minor corrections made and approved. 2. Minutes of Selector Early Bird (Oct 14) were approved. 3. Announcements: - G. Ford inquired about the frequency of CD-ROM use statistics need. The system produces quarterly raw numbers data which G. Ford has been using to produce a summary spread sheet deemed more useful by CAG members. CAG members agreed that the summation statistics twice a year (June and December) would be most useful. - A. Urbanic indicated incoming CAG members will be John Roberts (replacing M. Burnette) and Suzanne Calpestri (replacing B. Sibley). D. Fortner will continue for Sciences. 4. Moffitt Collection Policy For the interim, the Moffitt approval plan with YBP is on hold. Because of interest expressed by faculty, comments from the Vice Chancellor, and space planning issues related to the use of the Moffitt building, LPG is initiating a planning process for the future of undergraduate services and collections. Books already firm-ordered and in the pipeline will continue to be received. CAG discussed this decision, which seems to have been prompted by Vice Chancellor Christ's comments at a recent Early Bird. CAG expressed its belief that the level and type of materials Moffitt has traditionally held are still needed, as are the duplicates Moffitt holds. - AUL Kornstein agreed to investigate the distribution of Moffitt approval plan slips to selectors for potential purchase of appropriate titles for their collections, in lieue of purchase by Moffitt, with the possibility that Moffitt funds could be accessible for that purpose. CAG suggested a coordinator for Moffitt collections be named to monitor the Moffitt funds. - The issue of where books selectors might purchase out of Moffitt funds will be shelved was discussed. CAG members noted the gridlock problems expected in Main stacks should all Moffitt material (current or forthcoming) be housed there. Due to many factors, CAG agreed the issue of space is a longer term decision and should be carried to future meetings. The question of where the Moffitt collection on level D should go, since it needs to be moved very soon due to shifts planned for level D, will be taken up at the next CAG meeting. 5. Innopac Reports There is wide-spread concern among selectors about the Nov. 1 cessation of printing of fund activity reports by the Library Business Office effective Nov. 1. Selectors noted the inefficiency of cutting and pasting their fund reports daily from the current web page posting. CAG asked A. Urbanic to inquire about LBO continuing to print the reports until a decision can be made as to the most efficient way of printing the reports. A. Urbanic noted that a modification of the web posting of the reports was expected soon and asked selectors to test the new version before continuing the discussion. 6. Web of Science trial B. Weil reported that science faculty like the system. Response time has been slow; J. Towers is working with ISI on improving it. The trial period has been extended to Nov. 14. 7. Library Web Project CAG adjourned to Room 350C for a demonstration of the Library Web Project presented by P. Maughn, L. Weber, O. Heyer, T. Dilworth, and T. McCarthy. CAG members were asked for feedback on a web indexing proposal.
