Record Levels in GLADIS

It is important for staff to become familiar with record level codes in GLADIS. GLADIS records are used to route material, or to enter/use information for other processing as well as public informational purposes. The appropriate record level for a given procedure must be used. Record levels are identified by various codes in the LEVEL section of the fixed field area in the MARC and brief GLADIS displays.
CODE IDENTIFIERS; DEFINITION AND HISTORY
b (permanent brief)
Created directly online in GLADIS. Also can be keyed in OCLC and RLIN. Fairly
complete cataloged records, although the classification may be more general
and the record may have limited or no subject access.
c (classified)
Serial records and some monograph records of various different formats, tape
loaded by the Library Systems Office. Level c records were loaded from the microfiche
into GLADIS in the initial upload to create GLADIS. Some records are complete,
others are very brief due to past problems with various system interfaces, refer
level c records to sermaint
for serials and monmaint
for monographs.
d (Division of Library Automation (DLA))
Keyed directly in GLADIS. Also can be keyed in OCLC. Brief bibliographic records
that meet the Division of Library Automation's minimal-level standards for upload
into MELVYL. For the most part these are Temporary Cataloging Pool (TCP) or
brief records for items stored at the Northern Regional Library Facility (NRLF).
e (comprehensive order)
Uploaded from INNOPAC. Service subscription records.
f (full)
Cataloged records keyed directly in GLADIS, OCLC or RLIN. Fully cataloged, highest
quality record.
m (membership)
Uploaded from INNOPAC. Membership records.
n (NRLF)
Inventory control records created in GLADIS. There will be two different types
of level n records; University of California, Berkeley libraries that use GLADIS
as their catalog, and libraries which store items in NRLF that do not use GLADIS
as their catalog. When no GLADIS record exists for University of California
Berkeley items shelved in NRLF, a level n record will be created in the beginning
from the old NRLF system and then later keyed directly in GLADIS. Level n records
are considered temporary for University of California, Berkeley libraries which
use GLADIS as their catalog and will be upgraded at a later date. Level n records
are considered permanent for libraries that do not use GLADIS as their catalog
and will not be upgraded. Some level n records will be minimal, i.e., no author,
partial title and no description.
o (order)
Uploaded from INNOPAC. Monograph and serial order records.
p (provisional)
TCP and some cataloged records tape loaded by Library Systems Office from the
microfiche catalog. Level p is also used by Technical Services as an interim
place holder for records which will be upgraded to level b or f upon completion
of cataloging. Level p are upgraded to level b and f by keying directly in GLADIS
or upgraded as level f by OCLC or RLIN cataloging.
q (quick)
Keyed directly in GLADIS. When no existing record is found in GLADIS, a very
brief record is keyed to enable staff to charge out or route item.
r (Retrospective Conversion or Recon)
Some tape loaded from REMARC and Carlton Press by Library Systems Office. All
others loaded from OCLC or RLIN. Records that are converted from manual (card)
to automated (online) form.
s (standing order)
Uploaded from Innopac. Standing order records for series cataloged as separates.
t (target)
Monograph records loaded from OCLC's PromptCat Service and targeted for upgrade
to level f by OCLC's Bibliographic Notification Service.
x (reserve)
Reserve records are created for library owned material or faculty copies for
course reserve or Permanent reserve. Access is by course reserve number, instructor
and barcode only. Course reserve records are taken off reserve at the end of
each semester. Course reserves are automatically deleted when taken off reserve.
Not searchable by author, title or other standard OPAC access points. Level
x records are also created when Circulation staff manually bill a patron and
are not automatically deleted from GLADIS after billing completed.
