Mixed Media Cataloging on OCLC


This procedure is to be followed for coding, description, and shelflisting of mixed media. Mixed media in this instance refers only to monographs accompanied by one or more compact discs, computer disks, or cd-roms. For choice and form of entry, cf. AACR2 Chapter 21-25.
  1. OCLC Coding

    Coding requires the addition of two MARC fields: the 006 field known as the Fixed Length Data Elements-Additional Material Characteristics field, and the 007 field known as the Physical Description Fixed Field. For coding purposes, it sometimes necessary to choose between two formats. An example would be a compact disc that is both spoken and musical (ie. poetry and music). Choose coding for the format that is predominant by reading the cover and preliminary pages of the monograph and as well as any literature that accompanies the compact disc, computer disk, or cd-rom.

    To input the 006 and 007 field on OCLC use the Apply Constant Data command. See examples below.
    1.1 Musical Sound Recordings
    For musical sound recordings, input at home position acd mmcdmusi var and the following 006 and 007 fields will be inserted in the record.

    Note the code "op" in the 006 field refers to the Form of Composition fixed field for "operas." As this code may vary, click on the highlighted "op" to consult the other two letter codes for the Form of Composition fixed field. If another code is more appropriate for the compact disc, input the two letter code in precisely the same position as the "op" code.

    1.2 Spoken Sound Recordings
    For spoken sound recordings, input at the home position acd mmcdspok var and the following 006 and 007 fields will be inserted in the record.

    Note the code "p" in the 006 field refers to the Literary Text fixed field for "poetry." As this code may vary, click on the highlighted "p" to consult the one letter codes for the Literary Text fixed field. If another code is more appropriate for the compact disc, input the one letter code in precisely the same position as the "p" code.

    1.3 Computer Disks
    For computer diskettes, input at the home position acd mmdisk var and the following 006 and 007 fields will be inserted in the record.

    Note the code "d" in the 006 field refers to the File fixed field for "document." As this code may vary, click on the highlighted "d" to consult the one letter codes for the File fixed field. If another code is more appropriate for the computer disk, input the one letter code in precisely the same position as the "d" code.

    1.4 CD-ROMs
    For cd-roms, input at the home position acd mmcdrom var and the following 006 and 007 fields will be inserted in the record.

    Note the code "b" in the 006 field refers to the File fixed field for "computer program." As this code may vary, click on the highlighted "b" to consult the one letter codes for the File fixed field. If another code is more appropriate for the cd-rom, input the one letter code in precisely the same position as the "b" code. Also note the delimiter "d" and delimiter "f" codes in the 007 field are highlighted. As these codes may vary, click on the highlighted "d" or "f" to consult the one letter codes for the Physical Description Fixed Field (Computer Files). If another code is more appropriate for the cd-rom, input the new code in precisely the same position as the existing code.

  2. Description


    2.1 Physical Description
    Describe mixed media by applying rule AACR2 1.5E1(d), ie. amend the physical description area to include the physical description of the accompanying media. For the specific material designation, consult AACRII 6.5B1 (sound recordings) and 9.5B1 (computer files). See example:

    2.2 Varying Forms of Title
    If appropriate, include varying forms of title for mixed media as instructed in AACR 6.7B4 (sound recordings), 9.7B4 (computer files), and AACR2 1.1C. Note the General Material Designation [GMD].

    2.3 Systems Details Note for Computer Files
    Attention: accompanying computer disks require a Systems Details Note as instructed by AACR2 9.7B1(b) . In the 538 MARC field, list in the following order the computer platform (ie. the hardware), the memory required, the operating system, software requirements, and all required or recommended peripherals. Include only those items expressly stated in the text, or if necessary, in the Readme.doc file found on the computer disk or cd-rom. See example:

    538     System requirements: IBM Personal Computer or compatible; 80486 processor or higher (Pentium recommended); 16 MB RAM; 8 MB of free disk space; Windows 3.1 or higher; double-speed cd-rom drive; mouse (optional).  ¶
    Note: do not elaborate if the system detail information is lacking. For instance, if the only system detail information found is "Windows or Macintosh," then include only this information. See example:
    538     System requirements: Windows or Macintosh.  ¶

  3. Shelflisting

    Various methods are required to process and classify accompanying media. For MAIN materials, the monograph and accompanying media need to be bound in a single volume. A supply of adhesive pockets for cd-roms and 3 1/2 inch computer disks are available for this purpose. If no pocket exists for the accompanying media, and an adhesive pocket will not work, MAIN items should be sent to the bindery with a Bindery Work Order slip. On the slip indicate that a pocket should be added for the accompanying compact disc, computer disk, or cd-rom.

    On the other hand, branch items require no special handling and should be forwarded to the unit in the condition received.

    With the exception of MUSI, all accompanying media receive Library of Congress classification with an abbreviation for the format as instructed in the Berkeley Processing Manual II.I. Processing Media with or without Accompanying Printed Materials. The abbreviations are: sound/d (compact disc) and compu/d (computer disk or cd-rom). See examples:

    MUSI assigns their own classification scheme to accompanying compact discs. Note that for MUSI, still write in the LC call number for the monograph. For all compact discs that belong to MAIN or the other branches, write the call number on an adhesive label and affix to the pocket or container. Likewise, for cd-roms write the call number on an adhesive label and affix to the pocket or container. For 3 1/2 inch computer disks, write the call number directly on the disk label. Also for all locations, place a media flag in the monograph to alert staff that media is included. Finally for 3 1/2 inch computer disks, affix with a paper clip two warning labels to the back page of the monograph. This warns staff and patrons that the data on disks can be erased by library electronic security devices.
