Conservation Treatment - Procedures

  1. IDENTIFICATION OF PROBLEMS

    If the following problems are identified, please send the item to CTD:

    loose pages
    missing pages (see also BPM procedures on Missing Pages).
    loose addenda , updates, errata, or indices
    torn pages
    loose, damaged, or detached covers
    mutilation (gum, tape, razored pages, etc.)
    mold or water damage (see section below for special instructions)
    brittle paper
    page edges uncut

  2. SENDING MATERIALS TO CTD

    Sample binding slip

    1. BRANCH: Please type the spine information (title, call number, etc.) in the boxes on the right side of the binding slip, and put any "special instructions" in the designated space at the bottom left corner. (If you need more room to write special instructions, simply include a note along with the binding slip.) If a newcase or rebind is necessary, the color of the original casing will be duplicated as close as possible. If a specific color is required, please write that color under "special instructions". For branch records, the call # may also be typed on the top, or "tab" of the binding slip; please keep it confined to this area, as this is also where the conservation technicians note their treatment decisions. If the item is on reserve, or has been recalled, or rush service is needed, please place a pink "Rush" flag in the book. Please securely tie any items containing loose pages or covers, and include both the original and copy of the binding slip with the material (the "stiff back" copy may be kept for your records or discarded).

      MAIN: Once there are enough books on the "Bindery" shelf to fill a book truck, put "Clear Charge" flag in the books. If there are rush items, separate them and put pink "Rush" flags in them.

    2. Charge the item to CONS for 2 months, making an appropriate note in GLADIS (see example below).

    3. BRANCH: Use campus mail to route the item to CTD, Room 9, Doe Library.
      MAIN: Deliver the truck to Room 9. If there are rush items, notify one of the conservation technicians or put them on the truck under the sign labeled "Incoming Books Here."

      To deliver a wet or moldy item

      If an item is moldy, but dry, please put it in a plastic bag so that other books don't get mold on them. Put a rush flag in the book so that we can get the mold out as soon as possible.

      If an item is wet, please hand-deliver it immediately to Room 9 in the basement of Doe Library so that we can begin drying the book. If there is a leak or other ongoing problem that may cause other materials to get wet, please contact CTD immediately (642-8843) so that we can cover materials with plastic and assist with de-humidification efforts to prevent a mold outbreak.

      To deliver Special Collections materials

      Special Collections materials must be hand-delivered to Room 9, Doe and handed to a member of the Special Collections Team. To organize please call Special Collections Conservation Team at 642-8842 or 643 7932.

  3. THE WORK OF CTD: SORTING, BATCHING, AND REPAIR

    To maximize productivity, conservation technicians sort books received in CTD according to type of repair. This "batching" means that a number of books will remain in Room 9 awaiting assigned treatment. After sorting, a *n note and an new *d due date is entered into the v/c, indicating the book's treatment status and location (repair truck, bindery, PRD, etc.) A generic *d due date of one year is entered into the record, although treatment should be completed in a much shorter time. After repair is complete, books are either routed back to the sending library ( a new *n note is entered to show item has been discharged from CONS) or to the Bindery for a new case or rebind (a new *n note is is entered and the *d due date extended, to reflect transfer to the Bindery).

  4. RECALLS AND "TRACECON"

    If a book charged to CONS is needed for any reason, it may be recalled using "Tracecon", and will be given Rush treatment. Please refer to BPM procedures on Tracers
