HOW TO GENERATE A CLAIM WHEN EXITING THE CHECK-IN RECORD
When exiting a record after performing check-in or maintenance, Innopac prompts
for claiming if there are any late issues on the check-in card.
If you wish to claim, key <v> (verify each late claim). There will be a
summary screen of attached order records.
Your screen will look like this:
Key the number of the appropriate order record.
Examine the order record carefully.
Check the STATUS of the title (field 20). Status z indicates a closed record;
perhaps a claim should not be sent.
Read all vendor notes (VEN. NOTE) and internal notes (INT NOTE). Look for information
regarding vendor changes, special requests, publication information, etc.
(For purchase titles only) View the payment history.
Sometimes an issue is not sent because payment was never made.
If payment was made recently for an issue, perhaps the issue has been received,
and has not yet been checked in.
If you wish to use this order number for claiming, key <u> (Use this order
number). You will be returned to the check-in card screen.
If you wish to examine another order record, key <s> (Return to record
summary).
If there is no order record, Innopac will display the following prompt:
Print claims without Order #? (y/n)
Read all check notes. This could be a set within a sep. See WHEN
TO CLAIM Sets within sep
Look up the title in Gladis using the order display format. This may be a cancelled
or a ceased title. In such cases, the order record has been deleted, but not
the check-in record. See section on closing serial titles.
If the title is active and is not a set within a sep, refer the record to the
Serials Documents Division for OFRO (order for record only) treatment.
Information about the late issue will be displayed.
Claim this issue? (y/n)
Key <y>.
You will be prompted to enter a note in order to:
Generate a continuation claim. (Ex.: and following issues)
More accurately describe the issue claimed. (Ex.: indexes, supplements, parts,
etc.)
Communicate special instructions or comments. (Ex.: Received damaged)
The maximum length of the note field is 21 characters. Add longer notes manually
to the claim form. This note prints on the claim form only and is NOT retained
in the Innopac record. If you wish to enter a note, enter it here and key <return>.
If you do not wish to enter a note, key <return>.
The claim is sent to the printing queue.
NOTE: Information in the box-specific note does NOT print automatically on
the claim form.
If you do not wish to claim, key <q>.
