BINDING MANUAL

Allocations

The Library's binding budget does not currently allow us to bind everything.  Every year, allocations are established for each library unit to distribute available binding funds equitably.  Please keep within your monthly allocation when sending items to BPD.  If you cannot send as much in any given month as your unit is scheduled to, do not send more the next month.  Consult with your Department Head or call BPD (2-8140) if you don't know the current allocation for your unit.

Criteria for what counts to allocation

Criteria have been established to determine which material will count towards unit monthly binding allocations.  These criteria are designed to allow processing staff and selectors to decide and control which volumes to bind, while also binding--and not counting toward allocations--those volumes most in need of protection before usage.

Items that do not count:
  • Pamphlets under 1/4" thick, or shorter than 6" high, or requiring pockets for loose material, or that in any significant way are unable to be used as is, unbound.
  • New paperbacks with failed bindings (pages falling out), or books made up of loose pages, or no covers, or needing loose material bound in or pocketed at rear.
  • Any material sent for repair or rebinding.
  • Or any book that for whatever reason should not be shelved and used as is without first receiving binding protection.

Items that do count:
  • Bundled serial issues above 3/8" to be buckram or lc-bound together.
  • Individual items 1/4" thick or more (sturdy enough to be shelved and used unbound as is.
SENDING BOOKS TO THE CONSERVATION DEPARTMENT
  1. Requesting RUSH service

    Insert a RUSH flag into each volume.  Rush orders include all types of bindings and are shipped twice weekly.  Items must be received by BPD before noon on Monday or Thursday for the next day's shipment.

  2. Inserting Forms

    Insert binding slips or any necessary flags into the books, leaving the top inch of the form showing above the book.  (Avoid using paper clips, which may tear pages.  Use elastic bands cautiously, since they can damage books.)

  3. Sending or Transporting material to BPD
  4. Binding issues or volumes together

    Any volumes or issues to be bound together must be tied together using 24-ply string which minimizes the chance of damage.  Tie material with a continuous strand both top-to-bottom and side-to-side; then tie a bow at the foredge (the open edge, away from the spine).

  5. Keeping volumes together through processing

    If a binding slip is used, use the "same" binding slip option.  (See section on Binding Slips)

  6. For other items that need to arrive at the Catalog Dept together, you may use a rubber band, with CAUTION.

BINDING TURNAROUND TIMES

Turnaround time for books sent to the Bindery can sometimes vary.  (For example, in the summer many libraries send periodicals to be bound, and orders may get backlogged at the Bindery.  Conservation Department will report in Tech Services Notes when binding is being delayed.)

RECALLING ITEMS

BPD keeps records back for one year, and cannot trace items beyond that time.  Items without binding slips cannot be traced or recalled.  These items, mostly pam and mylars, receive priority treatment at the Bindery and are expedited through BPD to lessen the amount of time they are not available.

There are two ways to recall or trace items:

  1. Use hold/recall procedures on autocirc system (preferred)
    The advantages of the hold/recall cards are that the information provided is uniform and complete, so BPD can more readily search for the item.
  2. Email: tracecon@library.berkeley.edu

provide the following information:

  1. Title and call # of volume.
  2. Date (as close as possible) when volume was sent to (please note): BPD to be bound, or CTD to be repaired.
  3. If item were "rush" or "regular" priority.
  4. Type of binding, if any, requested.
  5. And any other relevant information (e.g., "sent for map pocket," etc) which could help in locating the volume.

NOTE: To trace missing or delayed volumes that might be in other tech processing units, or to expand the parameters of this search: email tracemon@library.berkeley.edu for monographs or traceser@library.berkeley.edu for serials.  These email tracers will reach the staff in Technical Services who trace for monographs or serials, and they'll then search technical service locations other than CONS.
